NorthPoint Health &amp Wellness Center, a state-of-the-art multicultural, community-based medical and dental clinic is seeking someone who is fluent in Spanish in addition to English, enjoys working with the public, has strong communication skills, and a desire to help others while serving the community to join their Guest Services team as a Guest Services Representative.

Location and hours:

This position will be on-site at the NorthPoint Health &amp Wellness Center at 2220 Plymouth Avenue North Minneapolis, MN 55411. Work hours will vary and are Monday through Friday, between 8 a.m. and 5 p.m. Some Saturday shifts will be required from 8 a.m. – 12 p.m. on a rotating basis. Once clinic hours are extended there will be some evening shifts through 7 p.m.

In this position, you will:

  • Acknowledge and greet patients on arrival, check in patients for appointments and notify providers via the scheduling system, monitor patients in waiting area/line to facilitate efficient patient flow, and provide HIPAA and Data Privacy information to patients and document in Epic.
  • Schedule patients’ medical, dental, behavioral health and optometry appointments by telephone and in person within Epic, Cadence, Prelude, and Dentrix scheduling systems.
  • Interview patients to obtain demographic information, verify and update as needed, create new patient accounts, and create accurate guarantor and insurance accounts.
  • Collect payments for co-pays/nominal fee and scan medical insurance cards.
  • Verify insurance coverage for each appointment solicit financial information and determine eligibility for NorthPoint sliding scale fee, as necessary.
  • Provide and/or arrange interpreter services for patients when scheduling appointments and schedule transportation services for patients with scheduled appointments when applicable.
  • Call and schedule/reschedule patient appointments, and referrals as needed from scheduling queues and check Epic in-baskets and Microsoft Team chats for appointment requests from medical providers.
Need to have:
  • One of the following:
    • Two years or more of office clerical experience.
    • Two years or more of related post-high school education.
    • 18 months or more of office clerical experience and completion of the Office Specialist Pathway Training program.
    • One year or more of office clerical experience an d completion of the Human Services Pathway Training Program.
  • Ability to communicate fluently in Spanish, in addition to English, both verbally and in writing.
Nice to have:
  • Experience:
    • Using Epic, Dentrix, or other electronic health record (EHR) systems.
    • Performing front desk duties and handling confidential information.
    • Working in a medical/dental office setting.
    • Working with Microsoft Office suite (Excel, Outlook, Teams &amp Word).
  • Knowledge of HIPAA security and privacy regulations.
  • Ability to:
    • Effectively communicate face to face and via telephone with people who have limited English skills and/or non-English speaking customers.
    • Work effectively and communicate with individuals from a variety of cultural and lifestyle backgrounds in a respectful and non-judgmental manner.
    • Handle multiple complex and simultaneous tasks by setting priorities to meet deadlines.
    • Provide excellent customer service skills with the ability to conduct oneself professionally and handle sensitive/difficult issues in a tactful manner.
    • Interpret computerized reports, tables, and charts process and integrate a variety of complex information from multiple sources.
    • Code and classify information according to specific general guidelines and principles.
