Job Description : Job Summary

The Marketing Administrative Assistant provides professional-level administrative support to the Marketing team and its director, under minimal supervision. Coordinates sponsored events and supports marketing programs and activities that serve to enhance the institutional reputation and advance the health system’s position in the marketplace. Utilizes and demonstrates a high level of sensitivity and confidentiality, using sound judgment and discretion in representing the department. Uses excellent communication skills and experience, including the ability to use interpersonal, verbal, and written skills in order to deal effectively and patiently with people from diverse backgrounds and cultures.

Minimum Qualifications

  • Experience providing administrative support in a professional office environment
  • Advanced proficiency with all MS Office applications, including MS Word, PowerPoint, and Excel. Ability to prepare properly formatted documents, including a wide variety of text documents, PowerPoint presentations and business graphics
  • Ability to learn new computer software and new tasks quickly, to remain flexible, adapt to constantly changing priorities or assignments
  • Ability to support department staff in person and using web-based virtual communication platforms
  • Excellent oral communication skills: Ability to interact effectively, courteously, and cooperatively with tact and diplomacy with a wide range of individuals, including faculty/physicians and staff business professionals news reporters patients consumers and vendors
  • Strong project management skills, including ability to plan, establish objectives, procedures, and standards, implement, and evaluate outcomes
  • Excellent organizational skills and time management skills to coordinate the many details of multiple projects simultaneously, prioritize work independently, manage and meet multiple deadlines, work quickly and with minimal supervision, showing independent judgment, accuracy, and initiative
  • Experience writing clear and concise business communications, with accurate spelling, grammar, and punctuation
  • Ability to work well independently, as well as part of a collaborative team to accomplish multiple, high-priority tasks
  • Exceptional customer-service skills including problem-solving, cooperative language, empathy, flexibility, and the ability to work with clients and staff within the department for quick and effective responses and problem resolution as they arise
  • Ability to interpret UC Davis policy and procedures, laws and regulations pertaining to patient privacy rights, copyrights, and public information

Preferred Qualifications

  • Experience with UC Davis Health
  • Knowledge of and experience with the broad spectrum of marketing tools and techniques, including advertising and collateral production, media placement, direct mail, and event management
  • Knowledge of health care operations
  • Knowledge of and experience with trafficking of advertisements across multiple media

Department Description

The Department of Public Affairs and Marketing plans, manages, and implements strategic communications (such as news services, public relations, marketing, internal and external communications) for UC Davis Health. Communications are aimed at a wide range of key constituencies, such as the news media, UC administration, UC Davis faculty, staff, and students, government/regulatory leaders, external physicians, business leaders, patients and health care consumers, and the general public.
