Work Arrangement

This role is categorized as hybrid. This means the successful candidate is expected to report to GM Global Technical Center in Warren, Michigan, three times per week, at minimum.


The Role

This executive administrative assistant provides administrative support to the Global HR Organization – and leaders within the Total Rewards and Employee Relations team. The role will include a variety of tasks such as presentation creation, travel arrangements, calendaring, and scheduling. Position requires a high degree of discretion, accuracy, and coordination.


What You’ll Do

  • Assignments are broad, complex, and varied in nature.

  • Handle all external customers – degree of internal vs external impact

  • Generate solutions to non-routine problems of a more moderate scope and complexity

  • Conserve managers time by assuming administrative details.

  • Coordinate a system for managing office routine.

  • Expedite handling of correspondence, global mail requests and phone calls

  • Prepare written reports, correspondence etc.

  • Gather and analyze routine data.

  • Maintain regular contact with others outside the team.

  • Complete various assignments as requested with minimal supervision.

  • Maintain records, confidential files, and GM specific reports.

  • Schedule complex meetings and maintain multiple calendars.

  • Continuously look for ways to improve efficiencies of day-to-day tasks.

  • Support travel arrangements, Visa, Passport, and associated expenses

  • Invoicing for department related purchases

  • Knowledge of and ability to assist with IT, Cell phone, Phone, MML, Webex, Microsoft Teams and other Telepresence systems

  • Manage all aspects of office administration using independent thinking and judgment with sole discretion for office procedures.

  • Make discriminating decisions regarding the distribution and flow of information and work.

  • Manage office using common systems and advanced technology when appropriate (e.g. electronic mail, internet, ergonomically designed tools, software packages, paperless systems)

  • Provide floor coordination support, as needed.

  • Administer Badge Requests, shared drive access requests

  • Take-on various project work

  • Manage tasks Center of Excellence for Information Lifecycle Management

  • Handle all Mail, distribute mail (from Renaissance Center), and mail response letters

  • Email open door claim letters

  • Manage Iron Mountain

  • Maintain distribution lists

  • Maintain WorldatWork

  • Negotiate annual contract, communication to members, enroll new members

  • Manage invoices, set up new Vendors, create purchase orders and shopping carts, submittal and approval of invoices, and follow up on payment status requests

  • Handle Check requests and Wire transfer requests

  • Staff Meeting agenda and align safety presenters

  • Support UAW-GM Negotiations with language wording and copies

Your Skills &amp Abilities (Required Qualifications)

  • High School diploma or equivalent is required.

  • Significant experience as an executive assistant supporting Senior Management / Executives, or equivalent professional experience.

  • Experience managing domestic and international travel itineraries, travel arrangements, and expense tracking.

  • Excellent organizational skills with an ability to think proactively and prioritize work.

  • Demonstrated ability to work independently and collaboratively on projects in a fast-paced environment and must be able to work under pressure.

  • Strong written and oral communication skills

  • Problem solving using independent thought and decisiveness.

  • Advanced level of proficiency in Microsoft Office (MS Suite, scheduling, internet, Outlook, and knowledge of SharePoint)

  • High level of integrity and discretion
