West Virginia University College of Creative Arts is currently accepting applications for a Temporary Part-Time Payroll Assistant.

About the Opportunity

As a Temporary Part-Time Payroll Assistant, you will provide accounting and financial tasks for the business office.

You will be part of the Business Office. This position reports to the Chief Business Officer.

PAY GRADE – 14

Assignment Length: Approximately 4 months

What you’ll do:

  • Prepares fiscal reports and advises administrative staff on courses of action. Interprets, implements, and monitors policies and procedures for payroll at the college, institutional, state and federal level.
  • Serves as a first point of contact to all school directors and liaisons regarding conveying information and answering Inquiries regarding payroll issues.
  • Works directly with the College of Creative Arts – Strategic Business Advisor in preparation of pay raise processes, verifies that all raises, promotions and other salary changes have been keyed correctly.
  • Performs periodic checks throughout the fiscal year to make modifications as needed to CCA payroll due resignations or new hires.
  • Review PR edit reports, after Shared Services review, for necessary corrections and check returns.
  • Create and submit courtesy assignments for retired faculty so that they can maintain WVU privileges.
  • Provide financial information support for a variety of summer camps that are held by the College of Creative Arts. There is an average of eight camps held every summer.
  • Submit requests for temporary positions.
  • Submits routine and complex procurement and accounts payable functions for the College of Creative Arts (CCA). Processes involved with student award payments to Banner Accounts, processes gift and revenue deposits and performs a variety of other duties as required in the daily operation of the CCAEBO.
  • Process and submit end assignment/ termination forms for faculty, staff, and graduate students.
  • Reviews, enters, and verifies new offer contracts to ensure accuracy and correct distribution of pay, benefits, contact dales and FTE, correction errors as needed. Ensures that payroll has all necessary forms and information for new faculty hires.
Qualifications
  • Associate Degree in accounting, finance or related discipline and/or equivalent combination or education and experience.
  • A minimum of of two (2) years experience in bookkeeping.
  • Demonstrated strong mathematical skills necessary to perform financial calculations.
  • Demonstrated ability to multitask and meet deadlines.
  • Demonstrated excellent oral and written communication skills necessary to explain complex guidelines to individuals and be able to justify recommendations.
  • Demonstrated ability to quickly learn specific institutional, college or departmental policies and procedures.
  • Demonstrated ability to understand electronic data processing concepts and utilize basic business office software, including but not limited to word processing, spreadsheet and database packages such as Microsoft in windows applications.
  • Demonstrated ability to handle cash, credit, check and wire transfer deposits.
  • Ability to learn and apply specific institutional, college of school policies and procedures.
  • Ability to handle and maintain confidential materials and information.
  • Demonstrated customer service orientation.
  • Demonstrate knowledge of payroll and budget regulations and polices.
