Job Description :

We are seeking an enthusiastic professional to join our team in a Receptionist/Office Assistant role in our San Diego office. The right candidate should demonstrate resourcefulness and initiative, a desire to forge powerful relationships, hone their skills and deliver excellent work to advance their career at Quarles.

Responsibilities:

  • Answer incoming telephone calls in a professional and courteous manner. Timely route calls to appropriate party, or take accurate telephone messages, as per firm policy.
  • Acknowledge visitors on their arrival. Announce them to respective attorneys or business professionals in a timely manner.
  • Maintain the neatness, cleanliness and restocking of the reception area, conference rooms, file rooms and all common areas.
  • Coordinate and manage reservation schedule for conference rooms, visitor offices and other resources as instructed.
  • Dial into prescheduled interoffice videoconferences utilizing audio visual equipment in conference rooms.
  • Register expected visitors, clients and vendors through building security portal.
  • Validate client or visitor parking tickets.
  • Report and monitor office maintenance issues to building engineer.
  • Sort and distribute incoming mail from USPS, UPS and FedEx deliveries package and label outgoing interoffice mail, as directed.
  • Perform word processing, data entry and other clerical duties as assigned.
  • Copy and scan voluminous documents and perform PDF conversions for document production.
  • Process check requests, expense reimbursements and credit card receipts for attorneys and supervisors.
  • Enter attorney billable/non-billable time.
  • Order office supplies and maintain inventory research high-cost items for best price and value, working in conjunction with vendors, firm wide purchasing and other resources.
  • Contact repair technicians/coordinate office equipment maintenance and upkeep, follow up regarding same.
  • Orient new and existing personnel to use of office equipment.
  • Assist with planning, scheduling and set-up of office social events, meetings and lunches.
  • Other duties and special projects as assigned.

Qualifications :

  • High school diploma or equivalent required associates degree preferred.
  • Minimum two years prior office experience preferred.
  • Experience in MS Outlook, MS Word, MS Excel, MS PowerPoint, Adobe and Aderant Expert preferred.
  • Good written and oral communication skills required.
  • Strong organizational abilities required.
  • Knowledge of San Diego area locations and addresses preferred.
  • Ability to coordinate multiple projects at once.

Benefit eligibility is dependent on hours. Compensation is determined upon the market in which the position is located, the responsibilities of the position, the experience, education and skills of the applicant, and other job-related factors. The range for this position for individuals physically located in San Diego is $20 to $27.50 per hour.

Schedule:

  • 8 hour shift
