Department Overview:
The OR Schedulers provide leadership and direction in a fast-paced surgical/procedural environment where demands are high. Monitors the coordination and scheduling of surgical procedures. Maintains the surgery schedule. Evaluates and researches errors, patient volume and flow, cancelled and rescheduled surgeries. Actively participates in the development of administrative Perioperative program rules, including regulatory compliance. Orients new employees and makes arrangements for training. The OR Schedulers have a direct reporting relationship to the Practice Manager.
Function/Duties of Position:
Preoperative Schedule Program Management and Coordination:
- Responsible for monitoring, coordinating and evaluating all surgical and non-surgical anesthesia cases and final schedule across multiple procedural locations. Oversees OHSU PSS to ensure that all surgical information received is accurate and executed on. Maintain in depth program knowledge and regulatory requirements. Apply program rules as cross check for multiple factors. Ensure regulatory compliance in application of program rules and identifies areas of non compliance.
- Monitoring program, extensively researches investigates and reports findings, makes recommendations for changes to leadership. Main point of contact for resource conflict and triage of issues. Compiles and writes summaries of program information for resource allocation.
- Responsible for answering calls received from individuals in numerous OHSU departments and off hill providers. Responsible for making sure each call is answered in a timely manner with minimal hold time and that the caller’s requests are attended to. Responsible for reading and responding to all email sent to the “group email box” throughout the day.
- Three years of experience administering or coordinating parts or subsets of a project or program. The experience must have included program evaluation responsibility.
- A bachelor’s degree in Business Administration, Management, Public Administration, or a field directly related to the position will substitute for two years of the required experience.
- Must be able to perform the essential functions of the position with or without accommodation
- Basic computer skills including word processing.
- Windows applications, on-line scheduling, and a preference for data-base skills.
- Excellent verbal and written communications skills.
- Strong customer service orientation.
- Demonstrated effectiveness in confrontational customer interactions.
- Required high level of accountability.
- Bachelor’s Degree or Additional Experience
- Preference may be given to individuals with experience in a specialty area specific to the position opening.
- An equivalent combination of training and experience
- Basic medical terminology skills.
- 2 year or more of experience in scheduling surgical cases (OR or Dr. Office)
- Knowledge of Epic Optime and Patient Station Microsoft Outlook
