Advance your career with our Virtual Eligibility Center (VEC) team! We are seeking a talented individual to serve as an Office Specialist 2 in our Salem office. In this role you will be part of a team that provides office and administrative support for VEC staff and the Oregon Eligibility Partnership (OEP) executive team. Oregon Eligibility Partnership: Oregon Eligibility Partnership (OEP) is part of the Oregon Department of Human Services. OEP provides direction and resources to everyone working to determine eligibility for Oregonians applying for and receiving medical, food, cash and childcare benefits through the ONE eligibility system.   • Two years of general clerical experience that includes keyboarding, word processing, or other experience generating documents OR
  • An associate degree in any field OR
  • An equivalent combination of education and experience.
Essential attributes:
  • Experience using time management, organization and prioritization skills to meet deadlines.
  • Experience managing competing objectives and timelines independently identifying, assessing and resolving barriers or inefficiencies.
  • Experience operating with flexibility, taking direction when work priorities or schedules shift in a fast paced, high-pressure environment.
  • Experience providing customer service in a professional environment to a high volume of diverse customers by telephone, in writing and in person.
  • Demonstrated experience developing meaningful relationships within a team that foster trust, inclusivity and respect.

Your duties at a glance: This position is stationed at the front desk of a secured area and serves as the main point of contact for staff, visitors and vendors entering the building. This position is responsible for collecting and maintaining confidential documents following processes that ensure integrity and information safety. Administrative tasks include but are not limited to: mail coordination, monitor building access, schedule meetings and record/distribute meeting minutes/notes, order office supplies, maintain electronic filing system, support hiring process, audit processes to ensure policies, laws and procedures are followed, draft memos or other correspondence, identify and implement process improvements and provide back up support for other administrative team members as needed. Working conditions:
  • The work schedule is primarily 8 a.m. – 5 p.m., Monday – Friday adjusted working hours negotiable.
  • In-office/in-person work required two (2) days per week remaining workdays/hours can be conducted remotely/work from home.
  • This position is based out of Salem, Oregon with a hybrid work option within the State of Oregon. Please note that the travel policy does not permit mileage nor travel reimbursement for staff traveling from their home to the central workplace.
  • The ability to report to the Salem ODHS office during business hours may be required for trainings, meetings, or when business or operational needs are dependent on onsite activities.
  • May require sitting at a computer or telephone for prolonged periods of the workday.

  • The salary range for this position will be adjusted on April 1, 2024, which will impact the minimum salary for this classification. The new salary range on April 1, 2024 will be $3,218.00 -$4,338.00 monthly.
