Job Description : What You Will Do

Los Alamos National Laboratorys (LANL) Protocol group works with senior managers and staff at the Laboratory to plan and orchestrate V.I.P. visits, ceremonies, meetings, and special events. The Front Desk Administrative Assistant will serve residents and visitors to LANLs Santa Fe Conference Center by: greeting, welcoming, and directing them appropriately notifying LANL personnel of visitor arrival maintaining building security informing visitors by answering or referring inquiries answering the telephone and serving as primary scheduler for all meeting rooms and much more.
What You Need

Minimum Job Requirements:

Personal Leadership: Demonstrated ability to calmly manage frequent interruptions and changing priorities complete assignments without established procedures be available, dependable, and punctual.

Scheduler Skills: Organizational and communication skills for managing incoming calls and working with both internal staff and the community. Excellent oral and written skills, including experience working with people to coordinate multiple calendars and complex schedules. Coordinate logistics, scheduling, and announcement of complex meetings and conferences.

Communication: Demonstrated ability to effectively work in a team environment and interact with all levels of internal and external personnel, including the ability to network with internal administrative personnel.

Administrative Support: Advanced knowledge of and experience with the provision of administrative services and activities, including general office management activities such as safety, security, correspondence, records management, travel, time and effort, procurement, and completing action items and tracking them to closure.

Education/Experience: Position requires a minimum of 3 years related experience or, an equivalent combination of education and experience.

Clearance : Ability to obtain and maintain a Q clearance, which normally requires US citizenship.

Desired Qualifications :

Additional Education and Training: Training, certification, and/or education is desired.

Flexible Work Schedule: Experience meeting customer/project needs that result in overtime and/or working flexible hours (including occasional evenings and/or weekends).

On-Call: Willingness to be assigned to on-call status by the Laboratory. Candidate must ensure that they can be reached by telephone or pager during the period of on-call status and they must be able to report for emergency work within one hour.

Event Support: Provide Protocol Officers with on and offsite support to include, but not limited to, coordinating badging, managing registration, escorting, catering, venue set-up/tear-down and transportation.

Work Location: The work location for this position is onsite and located in Santa Fe, NM. All work locations are at the discretion of management.

Position commitment: Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the time required, they may only apply for Laboratory jobs with the documented approval of their Division Leader. The position commitment for this position is 1 year.

Additional Details

Directive 206.2 – Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2. Please note that this requirement applies only to citizens of the United States. Foreign nationals are subject to a similar requirement under DOE Order 142.3A.

Clearance: Q (Position will be cleared to this level). Selected applicants will be subject to a background investigation conducted by or on behalf of the Federal Government, and must meet eligibility requirements* for access to classified matter. This position requires a Q clearance. and obtaining such clearance requires US Citizenship except in extremely rare circumstances. Dependent upon the position, additional authorization to access classified information may be required, which may or may not be available to dual citizens. Receipt of a Q clearance and additional access authorization ultimately is a decision of the Federal Government and not of Triad.

  • Eligibility requirements: To obtain a clearance, an individual must be at least 18 years of age U.S. citizenship is required except in very limited circumstances. See DOE Order 472.2 for additional information.

New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use was pre-offer.

Regular position: Term status Laboratory employees applying for regular-status positions are converted to regular status.

Internal Applicants: Regular appointment employees who have served the required period of continuous service in their current position are eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the required period of continuous service, they may only apply for Laboratory jobs with the documented approval of their Division Leader.
