Job Summary The Executive Assistant functions as a confidential assistant to the President. This position provides duties of considerable complexity requiring initiative, autonomy, judgement, and confidentiality in working closely with the President. This position is located on the Sheridan campus.
Reports To President of the District
Education/Qualifications Minimum Qualifications including education, experience, required licensures, certifications, and registrations : Education :
  • Bachelor’s degree required.
  • Outstanding written and oral communication skills.
  • Strong use of database knowledge required.
  • Sound professional judgment, using proactive, forecasting workload management.


Knowledge, Skills &amp Abilities Knowledge : A willingness and ability to understand college policies, procedures, and operations. Extensive knowledge and experience in Microsoft Office software specifically Word, Excel, PowerPoint, Teams, and Outlook.
Skills : Excellent oral and written communication, database knowledge, word processing, note taking, composition, organization, and human relations skills. Highly proficient in writing, including grammar, spelling and proofreading.
Abilities : Ability to represent the President effectively. Ability to retain confidential information and exercise good judgment poise, and ability to operate well under pressure administrative and decision-making skills, demonstrate professionalism in daily operations to ensure confidentiality of sensitive data. Demonstrates the ability to personify the qualities of the top-level executive assistant in the District, including the ability to effectively communicate their role, reporting line, and the important and challenging role of the President in the District.

Working Conditions/Physical Requirements

  • Be available as requested by the President.
  • Regular evening work related to Board of Trustee meetings and occasional weekend work
  • Some travel required.

Experience
  • A minimum of five years’ experience in a position demonstrating similar skills and abilities with seven years preferred.

Job Duties

Responsibility/Duty These percentages are estimates only and are very fluid. At any time any one category could be from 0% to 100%.

Maintain the President’s and office calendar, including travel and meeting/event arrangements. Manage the President’s email as directed by the President. Work with the President and/or others as appropriate to obtain information and prepare documents for meetings and to support the objectives of those activities.

Percentage of time 15%
Responsibility/Duty Represents the President in communications with the Board of Trustees and other entities or persons. Assists Trustees and/or others as directed by the President with travel, itineraries, and providing documents/information for meetings or other business of the college.
Percentage of time 10%
Responsibility/Duty Serve as representative for all incoming calls and visitors relieve the President of details and make decisions within the scope of authority.
Percentage of time 10%
Responsibility/Duty Prepare agendas, notifications, packets, and provide draft minutes of the formal proceedings for the Board of Trustee meetings.
Percentage of time 2.5%
Responsibility/Duty Prepare agendas, notifications, packets, and provide draft minutes of the formal proceedings for the Sheridan/Johnson Board of Cooperative Higher Education Services (BOCHES). Prepare draft minutes for the Sheridan Economic and Educational Development Authority.
Percentage of time 2.5%
Responsibility/Duty Organize and maintain office records, files, and budgets.
Percentage of time 20%
Responsibility/Duty Compose and manage correspondence for the Office of the President including the composition, editing, review, and distribution of Board Policies and Administrative Procedures.
Percentage of time 10%
Responsibility/Duty Manage the Cabinet agenda and follows up with Cabinet members on action items resulting from Cabinet meetings as directed by the President.
