What You Will Learn:

Key Responsibilities

  • Provide executive support to the Chief Corporate Affairs &amp Engagement Officer with duties that include preparing for and follow up after a range of internal and external stakeholder engagements, which may include conducting research, tracking trends, coordinating logistical arrangements, and ensuring follow-up communications with participants, as needed
  • Supporting on daily schedules and meetings including calendar management and coordination, booking meeting rooms, arranging meals and any A/V needs, and drafting agendas and meeting notes
  • Assist needs of the department operating budget and all related finance protocols such as creating and processing POs, vendor onboarding and management, and monthly T&ampE tracking and reporting
  • Manage general office operations including messenger and mailing, printing, restocking supplies, gifting, and sourcing for corporate photo shoots and projects
  • Work closely with the management committee of the department to organize its agenda, coordinate workstreams to advance its priorities, and track and report on its performance by preparing presentations and program summary decks, and providing town hall meeting and event support
  • Effectively organize and aid on special project needs as necessary, in alignment with the larger Corporate Affairs and Engagement team as assigned by the Chief Corporate Affairs &amp Engagement Officer
  • Cascade information and news, create pre-reads and inform updates by managing an internal network channel of communications


What We Are Looking For:

Required Qualifications

  • Bachelor’s degree in a related discipline and minimum of 5 years of relevant executive assistant experience with a working knowledge of and passion for community relations, employee engagement and strategic communications
  • High degree of professionalism managing sensitive information, with a detail-oriented mindset and problem-solving abilities
  • Skilled in budget management, demonstrating the ability to allocate resources and track expenses to support executive decision-making
  • Resourceful team player with adaptability, and strong written and verbal skills to effectively multitask while maintaining priorities
  • Experience working cross-functionally, with the ability to build and maintain relationships with internal and external stakeholders, partners, leaders and teams
  • Determined and self-motivated problem-solver who thrives in a dynamic and fast-paced work environment with the ability to prioritize and meet changing deadlines
  • Proficient in Microsoft Office suite of applications (Outlook, Excel, Word, PowerPoint, Teams)
