Duties and Responsibilities

    • Independently performs project administration activities for the Learning Communities student experience that occur throughout the John A. Burns School of Medicines (JABSOM) four-year curriculum.
    • Manages the Oasis (learning management system) Database and current rosters of all learning community (LC) groups and mentors. Sends out initial surveys and assigns students to LC groups. Assigns students in Oasis to their mentors each year.
    • Manages activities in the LC calendar to ensure and confirm student assignments monitored progress through the database management system.
    • Collaborates with the LC Directors to recruit LC mentors and coordinates the HR processing for the LC mentors.
    • Manages the transfer of funds from UH Foundation to the UH financial system.
    • Processes all check requests, reimbursements, and contribution transmittals for all LC related activities.
    • Coordinates LC curricular sessions and activities and is responsible for all communication to the students, mentors, and Moku directors regarding these sessions/activities.
    • Coordinates LC faculty development activities, sessions and programs designed to ensure development of skills related to academic medicine with responsibility for all communication with LC mentors and presenters.
    • Plans, organizes and executes LC special events (i.e. Sorting Ceremony, Moku Games, Moku Fair, etc.) which includes establishing goals and timelines addressing potential problems that may arise and ensuring successful execution of an event may require working outside of normal work hours including evening, weekend, and/or holidays.
    • Recruits and supervises other staff members for LC special events to create a collaborative setting for LC Coordinators and assigned medical students.
    • Develops program related materials and resources associated with the LCs by organizing learning objectives and content formats in alignment with LC mission and objectives. Monitors segments to create and update a historical database of resource components. Purchases equipment and supplies for LC activities.
    • Collaborates with the course director in the planning, scheduling, and communication for the first week of the Senior Seminars course each year.

Minimum Qualifications
Education and Professional Work Experience
  • Possession of a baccalaureate degree in education, social science, speech, communication, or other related field and 3 years of progressively responsible professional experience with responsibilities for organizing and communication or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills, and abilities as indicated.
Knowledge, Skills and Abilities
  • Considerable working knowledge of principles, practices and techniques in the field of communication or organizing events as demonstrated by the broad knowledge of the full range of pertinent standard and evolving concepts, principles and methodologies.
  • Considerable working knowledge and understanding of applicable federal and state laws, rules, regulations and theories and systems associated with working in an educational setting.
  • Demonstrated ability to resolve wide ranging complex problems through the use of creative reasoning and logic to accurately determine the cause of the problems and the resolution of the problems in an effective, innovative and timely manner.
  • Demonstrated ability to interpret and present information and ideas clearly and accurately in writing, verbally and by preparation of reports and other materials.
  • Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members, and individuals.
  • Demonstrated ability to lead subordinates and manage work priorities and projects
  • Demonstrated ability to operate a personal computer and apply word processing software Microsoft Word and Excel.
  • If applicable for supervisory work, demonstrated ability to lead subordinates, manage work priorities and projects, and manage employee relations.
Supplemental Minimum Qualifications
  • Demonstrated ability to organize and execute events.
  • Ability to work outside of normal work hours and may include evening, weekend and/or holidays for outreach responsibilities.
Desirable Qualifications
  • Ability to operate digital cameras and audio-visual equipment
  • Knowledge of the curriculum of the John A. Burns School of Medicine
  • Demonstrated ability to utilize databasing software
