Dispatcher 1

Expected pay range: $55,000 – $62,000.

Summary and Scope

The Dispatcher is responsible for coordinating, assigning, negotiating, and managing freight loads while providing superior customer service to ensure customer satisfaction. The Dispatcher will also assist with the coordination of meetings and events, execution and oversight of special projects, and the creation of policies and procedures.

Essential Functions

• Schedule drivers to make freight deliveries or collect shipments and packages.
• Communicate with customers about freight details, delivery or pickup times, and special handling requests.
• Plan pre-determined routes and accommodating route changes as needed.
• Prepare dispatch documents, as well as generating freight bills and invoices.
• Maintain records of dispatched calls, driver routes, route changes, as well as delivery and pickup times.
• Track transportation regulations and laws to ensure that truck drivers comply.
• Review drivers’ logs, including dispatched calls and arrival times.
• Monitor truck repairs and maintenance schedules.
• Log customer shipping schedules and complaints.
• Negotiate financial commitments with carriers, lumpers, and regional warehouses.
• Calculate routes, loads, and determine most efficient transportation method.
• Design and run Transportation reports.
• May assist in the daily administration of operations functions including, but not limited to
  • communications with ops staff members,
  • event/meeting planning and coordination,
  • special projects,
  • developing/working on policies both internal to operations and external with support staff
• Assist with mission organization during disaster response.
• Performs other duties as assigned

Required Education and Experience

• High School Diploma (or equivalent) is required.
• Associates degree preferred.
• 3+ years’ dispatch experience in the logistics or transportation industry is required.
• Experience with Transportation Management Software.
• Knowledge of applicable transportation, DOT, regulations, and laws.
• Proficiency in Microsoft Office

Physical Demands

While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand walk use hands to finger, handle or feel and reach with hands and arms. Employee will be required to travel (at organization expense) in automobile and/or aircraft. Expectation of exposure to weather (heat, cold, rain, snow) as operations occur in all areas of the country with potential for overseas travel. Lifting of up to 75 lbs. may occur. Ability to twist, turn, bend, lift, kneel, climb and stand.

Expected Hours of Work

The ability to work flexible hours including nights, holidays, and weekends will be required based on contract needs. It is expected for this position to attend regular meetings during typical work hours in Eastern Standard Time as well as meetings as needed for assigned projects in other time zones.

Work Environment

This job operates in professional office and field environments. We operate 24/7/365, inside and outside, in all weather conditions. This role routinely uses standard office equipment such as laptop computers, smart phones, tablets, photocopiers, filing cabinets and other presentation materials. There is an expectation of clear communication in English both written and orally.

Travel

This position requires up to 25% travel. Travel is dependent on contract load. The ability to travel to job sites and be away for extended periods of time based on contract needs is required. Short notice travel is required with 24-48 hours’ notice.

Work Authorization

• Must be authorized to work in the United States.
• Must be able to travel within the Continental United States (CONUS)
• Must pass a drug test, motor vehicle record check, and a background check upon accepting a conditional offer of employment.
• Must possess a valid drivers license. Have/maintain a clean driving record.
