Posting Text The Center for Disabilities is looking for a department assistant to support the Center for Disabilities and its diverse portfolio of work. Successful candidates must have the ability to work in a fast paced environment with strong organizational skills. Must have the ability to juggle multiple projects, have solid administrative skills including the ability to write, speak and interact clearly and professionally, a strong sense of urgency and problem solving skills. Must be computer savvy and proficient in Microsoft Outlook, Word and Excel. Experience working with persons with disabilities would be a plus. Funding for this position is secured through grants. Continuation within the position is contingent on performance and funding availability.
Duties Include:
  • Provide administrative support to staff, including directors, researchers, and program coordinators.
  • Manage departmental correspondence, including emails, phone calls, and mail distribution.
  • Assist in scheduling meetings, appointments, and conference calls for staff members.
  • Prepare and distribute meeting agendas, materials, and minutes as needed.
  • Maintain and update departmental databases, records, and filing systems.
  • Assist with the organization and coordination of departmental events, workshops, and training sessions.
  • Manage office supplies inventory and place orders as needed.
  • Assist with the preparation and processing of departmental budgets and financial documents.
  • Coordinate travel arrangements and accommodations for staff attending conferences or events.
  • Serve as a liaison between staff and other departments, external partners, and community organizations.
  • Conduct research and gather information as assigned by department leadership.
  • Perform other administrative tasks and duties as assigned to support the overall functioning of the Center.
Knowledge and Skills:
  • Previous experience in administrative support roles is advantageous.
  • Excellent organizational and time management skills.
  • Think critically, be solution-oriented, and anticipate needed support.
  • Strong attention to detail and accuracy in work.
  • Proficiency in Microsoft Office Suite and other relevant software applications.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and collaboratively in a team environment.
  • Knowledge or interest in developmental disabilities research or advocacy is a plus.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
