Join the University of Iowas Tippie College of Business Dean’s Office as an Administrative Services Coordinator. This pivotal position plays a fundamental role in supporting visitors, faculty members, students, and staff. At the core of the Dean’s Office mission, this role involves administrative functions while providing support for the Dean’s Office operations. Serving as support staff for the dean, senior associate dean, and the administrative leadership team, including sorting and distributing mail to ordering office supplies and swag and helping with events. This role requires a high-level of support service and effective communication. We are seeking candidates with experience and a passion for working with visitors to the Dean’s Office, including faculty, staff, students, alums, high level-donors, and the general public. A positive attitude and an unwavering dedication to customer service are integral attributes for success in this dynamic role.

The position is 100% time, Monday-Friday, 8:00 am – 5:00 pm. This position will be eligible for a 20% time flexible work arrangement after 6 months of training.

KEY AREAS OF RESPONSIBILITIES AND SPECIFIC JOB TASKS

Operational Support and Management

  • Serves as support staff for the Dean’s Office, including event support, and functional supervising of student employees.
  • Assists with additional activities related to the ordering of office and promotional supplies for speaker gifts.
  • Handles front desk operations, telephone and guest inquiries and referral in a high volume helps train student workers as needed.
  • Sorts and distributes mail in the building mail room.
  • Maintains a key database that requires specialized subject matter knowledge. Analyzes the data to maintain the database and generate reports. Troubleshoots key database problems for staff. • Participates in regular staff meetings to discuss and assist in developing operational policies and procedures.
  • Assists with mailings and publications sent from the Dean’s Office

Human Resources (HR)

  • Provides functional supervision of biweekly student employees.

Financial Responsibility

  • Performs administrative tasks such as eDeposits, reconciliation, blue requisitions, ordering and workflow. Information Management
  • Initiates data entry in Salesforce, BGI, RSVP lookups, database, and excel spreadsheets.

Communications Management

  • Serves as a liaison to faculty, staff, students, alumni, and public when needed.
  • Serves as a staff contact for office maintenance, IT issues, and facilities management.

Hybrid within Iowa: This position is eligible for hybrid work within Iowa and will require a work arrangement form to be completed upon the start of your employment. Per policy, work arrangements will be reviewed annually, and must comply with the remote work program and related policies and employee travel policy when working at a remote location.

Salary: $38,789-$50,000

POSITION QUALIFICATIONS



Education Required

  • Bachelor’s degree or the equivalent combination of education and experience.

Required Qualifications

Experience, typically 6 months – 1 year, and a working level of ability to carry out ongoing office administration tasks effectively and efficiently in support of individuals, teams, and/or units. Experience while an undergraduate student is acceptable and can be counted toward the 6 months
  • -1 year of experience required.
  • Excellent organizational skills and attention to detail.
  • Experience and ability to foster a welcoming and respectful workplace environment while recognizing personal differences and ability to work with a variety of individuals and groups in a constructive and respectful manner.
  • A demonstrated working knowledge of and application of effective communication techniques and relationship building skills.
  • Demonstrated ability to prioritize tasks, multi-task, and work as part of a team.
  • Demonstrated proficiency in Microsoft Office Suite (Word, Excel, Outlook Teams).

Desired Qualifications

  • Experience planning events, including ordering food, securing a location, and managing a timeline.
  • Event management experience which may include project development, coordinating logistics, and/or managing event-day operations.
  • Knowledge of University policies, procedures, and regulations.
  • Experience working with or supervising student employees.
  • Customer service experience in an academic environment.
