Position Summary

Entry-level clerk for the Operations Department.


Qualifications

  • High School Diploma or GED
  • One to three years of secretarial experience, preferably in public education environment and/or architectural/engineering/construction office.

Responsibilities

  • Data Entry: Inputting, updating, and maintaining accurate records and databases.
  • Compile, maintain physical and computerized files including sorting and filing documents, records, and paperwork in an organized manner as required.
  • Handling incoming and outgoing mail, emails, and phone calls. Take reliable messages and route to appropriate staff.
  • Coordinating appointments, meetings, and events. Schedule meetings and maintain bond program calendar.
  • Prepare written correspondence, forms, schedules, and reports using personal computer.
  • Order, receive, store and issue supplies when needed.
  • Prepare and process purchase orders.
  • Processing contractor, architectural and engineering invoices, and payment applications.
  • Assisting with various office tasks as required.

Knowledge and Skills

  • Proficient word processing and file maintenance skills
  • Effective organizational, communication, and interpersonal skills
  • Ability to use personal computer and software to develop spreadsheets, databases, and word processing. Must be proficient in Word, Excel, Outlook, and PowerPoint

Mental Demands/Physical Demands/Environmental Factors

  • Tools/Equipment Used: Standard office equipment including computer and peripherals standard instructional equipment other specialized and adaptive equipment used by students
  • Posture: Frequent standing kneeling/squatting, bending/stooping, pushing/pulling, and twisting
  • Motion: Frequent walking and reaching
  • Lifting: Frequent light lifting and carrying (less than 15 pounds) Occasional heavy lifting (45 pounds or over).
  • Environment: Work inside and outside (exposure to sun, heat, cold, and inclement weather) exposure to noise exposure to biological hazards (bacteria, communicable diseases)
  • Mental Demands: Work with frequent interruptions maintain emotional control under stress.
