Job Summary

Office of the Minnesota Secretary of State seeks to fill up to two (2) Customer Service Specialist, Intermediate positions. These positions exist to serve the public by responding to a wide range of routine inquiries over the telephone, online and through the mail, so that information is properly and correctly provided to the general public.

This posting will be used to fill two positions.

Job duties include but are not limited to:

  • Process or provide for the processing of all copy and certificate orders including authentications.
  • Assist customers who call the public information routine queues so all routine questions including fees, forms and services available are communicated to the customer timely and accurately.
  • Perform legal review, data entry, and imaging of routine corporate documents and no money annual registration filings to ensure that the filings are in compliance with Minnesota statutes and data entered timely and accurately.
  • Perform backup work to Customer Service Specialist, Senior and Customer Service Specialist staff during staff shortages as well as other miscellaneous tasks as assigned.
  • Maintain positive interpersonal relationships with all staff, supervisors, and customers, and participate in the OSS’ mission, vision initiatives and strategies as directed by the supervisor.

Qualifications

Minimum Qualifications

  • Typing/keyboarding sufficient to perform skilled typing tasks with speed and accuracy.
  • Word processing sufficient to accurately process customer and internal transactions.
  • Data entry sufficient to review and process documents with efficiency and accuracy.
  • English (speaking, writing, and reading).
  • Customer service skills sufficient to (1) provide prompt, courteous and accurate information to customers on the phone, in–person, through e-mail and other written correspondence (2) effectively communicate and elicit information with tact and diplomacy in difficult situations and efficiently resolve customer problems.
  • Ability to provide effective general and specialized office support (this requires common courtesy, tact, interest in positive problem solving, empathy, and the ability to organize ideas logically).
  • Ability to explain laws, rules, regulations, standards, policies, and procedures to customers.

Preferred Qualifications

  • Knowledge of the business routine and complex filing requirements.
  • General knowledge of State of Minnesota statutes that govern business.

Physical Requirements

  • Ability to lift up to twenty pounds.
  • Physical demands (e.g., lifting, standing, sitting, pulling) sufficient to stock public counter supplies such as forms, booklets, pamphlets and remain positioned at the counter (sitting or standing) for what is typically a two hour shift.
