Job Description Location: New York, NY The Creative Operations Assistant role is a balance of administrative and operations support, including directly assisting the Global Creative Director and working closely with the entire creative and operations teams on process, workflow, vendor contracts, invoice processing, and other operational tasks. The ideal candidate is an organized, confident, and collaborative individual with impeccable communication and problem-solving skills and a proactive attitude. To be successful in this role, you will anticipate needs and think days, weeks, and months ahead in order to action tasks accordingly. At the same time, the role will often require quick and careful responses to urgent requests – so flexibility, efficiency, and remaining calm under pressure are imperative. In this dynamic role, you will interact extensively with Conde? Nast executives and figures in the fashion and media industries, as well as have access to sensitive and confidential information regarding the Vogue brand and Conde? Nast’s business as a whole. Therefore discretion, confidentiality, attention to detail, and professionalism are paramount. Primary Responsibilities:
  • Provide daily administrative support, including but not limited to, calendar/schedule management, travel arrangements, and expenses for the Global Creative Director.
  • Proactively filter and facilitate the Global Creative Director’s meetings and other communications with internal staff and external stakeholders.
  • Assist with preparation of presentations and other materials for important meetings.
  • Support the Global Creative Director in processing and communicating approvals and other business processes for creative work across projects.
  • Maintain records for global creative team members such as org charts and project assignments – assist the Global Creative Director with coordinating communication and collaboration across the team.
  • Support the creative and operations teams with administrative tasks such as invoice processing, freelancer/contributor contracts, budget tracking, data entry, etc. (in close collaboration with the VP, Content Strategy and Senior Business Director)
  • Support creative projects as needed, such as photo research, production support, design support, image upload/archiving, etc.
Desired Skills and Qualifications:
  • 1-2+ years of administrative support experience in a fast-paced environment, ideally in a content creation or other creative organization.
  • Strong communication (written and verbal), collaboration, and interpersonal skills.
  • Proficiency with G Suite (Mail, Calendar, Docs, Sheets, and Slides). Tech savvy with the ability to quickly learn and navigate new software tools, technologies, and processes.
  • Prior experience with Adobe Creative Suite is a plus.
  • Strong problem solving skills and attention to detail with the ability to multitask, anticipate needs, and follow-through in a fast-paced environment.
  • Self-sufficient, resourceful, and proactive.
  • Discerning judgment with the ability to handle confidential and sensitive information with discretion, diplomacy, and tact.
  • Interest in fashion, culture, and lifestyle photography, design, and illustration.
The expected base salary range for this position is from $60,000. Salary offers are based on a wide range of factors including but not limited to relevant skills, training, experience, and education.
