****Applicants seeking short-term or part-time work with the University Hawaii may apply for Casual Hire positions, which include administrative, professional, and technical (APT) or instructional-type positions. Because of the temporary nature of these appointments, Casual Hire employees are not eligible for most benefits as provided to regular BOR and Civil Service employees such as paid leave and holidays. Casual Hire appointments may last for up to 89 days for full-time employees, and up to 1 calendar year for part-time employees.

Full Time/Part Time: Various hours, 0 to 40 hours per week, as needed includes evenings and weekends

Duties and Responsibilities

  • (Denotes Essential Functions)

1. * Serves as an assistant to the Special Events Assistant Manager in developing, implementing, and maintaining programs set forth by the Special Events Operations.

2. * Plans, coordinates, implements, &amp evaluates all parking &amp traffic arrangements for special events on campus.

3. Work with requesting representatives to develop &amp coordinate parking arrangements for these events

4. Work with contracted services such as gate attendants, and traffic control personnel during Special Events

5. Researches and recommends specific Commuter Services requirements for each event including placement of officers at strategic locations &amp clarifies their duties &amp traffic control devices to expedite the flow of vehicles &amp pedestrians.

6. Contacts sponsors to solicit specific information on events &amp to formulate recommendations to the manager for parking &amp traffic requirements.

7. * Compiles statistics and puts together special event cost analysis information for evaluation by the Special Events Manager.

8. * Prepares instructions, notices, and memorandums relating to Special Event procedures.

9. Interacts with the public on a regular basis. Provides information on special event parking.

10. Assists in handling highly difficult situations with the public in a calm and rational manner. Uses judgement and initiative to defuse disruptive behaviors.

11. * Work with contracted services to submit requests for the hiring of special duty HPD officers for special events.

12. Distributes parking instructions to personnel and handles distribution of parking restricted parking lists, and briefing commuter staff.

13. Trains personnel working in special events and maintenance.

14. Supervise up to 25 student assistants during an event

15. Supervise contracted services during Special Events

16. Monitors staffs performance of their duties and responsibilities.

17. Provides counseling for student assistants with problems that are affecting their work performance.

18. Able to audit equipment including but not limited to traffic cones, road flares, barricades, wooden a frames, traffic vests

19. Work with Commuter Services parking office during high peak periods that include but not limited to permit processing and permit distribution

20. Assists the Commuter Services Maintenance team during high peak periods to allow them to focus on facility repairs and maintenance.

21. * Participates in meetings, conferences, and other professional forums and organizations to keep current in the field events and traffic control.

22. Other Duties As Assigned


Minimum Qualifications

Basic Minimum Qualifications:

1. Possession of a baccalaureate degree in Business Administration, Public Administration, Education, or related field and 1 year of progressively responsible professional experience with responsibilities for event planning and coordination, auxiliary services, or related field or equivalent education/training or experience.

2. Functional knowledge of principles, practices and techniques in the administration of event planning and coordination, or auxiliary services functions demonstrated by knowledge, understanding and ability to apply concepts, terminology.

3. Functional knowledge and understanding of principles, theories, federal and state laws, rules, regulations and systems associated with the administration of event planning and coordination, or auxiliary services functions in a college and/or university setting.

4. Demonstrated ability to recognize problems, identify possible causes and resolve the full range problems that may commonly occur in the area of administration of auxiliary services functions in a college and/or university setting.

5. Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations.

6. Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals.

7. Demonstrated ability to operate a personal computer and apply word processing software.

Supplemental Minimum Qualifications

8. Able to address campus maintenance emergencies outside of normal working hours, including evenings, weekends &amp holidays.

9. Ability to work outside of normal work hours, including evenings, weekends &amp holidays.

10. Possess a valid drivers license and ability to operate a vehicle.

11. Able to coordinate and direct vehicular street traffic.

12. Ability to interpret and apply administrative rules and regulations to a variety of work situations.

13. Ability to plan, organize, direct, and evaluate the activities of subordinates.

14. Any equivalent combination of education and/or professional work experience which provides the required education, knowledges, skills and abilities as indicated.


Desirable Qualifications

1. Some knowledge and experience with Special Events Coordination.

2. Working experience in Auxiliary Services Operations within a post-secondary education institution.

3. Knowledge of university parking problems, rules, and regulations.

4. Some knowledge and/or experience with building maintenance and repair work.
