Essential Job Functions

The Business Intake Coordinator will review, modify, and process all new client, new matter, revision, and conflicts searches using the Firms automated business intake system. Using well-established standards, business rules, and policies as guidance, the Business Intake Coordinator will act as the Departments first point of contact for all new requests. Along with the other Coordinators, this position will organize and facilitate large litigation and restructuring-related requests for searching and analysis. This position will interface with all members of the Business Intake and Conflicts team, as well as attorneys and their secretaries. This position is the primary monitor of the Business Intake and Conflicts hotline, the Departments shared e-mail boxes and all pending intake requests for searching. The Business Intake Coordinator is responsible for setting up large search requests on behalf of attorneys and coordinating the departments efforts on researching, documenting, and delivery of all search results and summaries. The Business Intake Coordinator is required to keep all documentation on the Departments sharepoint sites relevant to both internal and external customers of the department. This position is responsible for upholding the standards and Firmwide policies of all new business processed by the Department, as well as implementing and policing standards of quality, consistency, accuracy and thoroughness, enhancing customer service, and improving efficiency.

  • Review all new requests for an information search, new client, new matter, revision, or securities search. Responsible for collecting background information on all parties involved.
  • Responsible for all series, class action and other large litigations, including research, analysis, documentation, and updates when appropriate.
  • Assist with collection and documentation of all parties involved in a clients restructuring for research, conflicts searching, and potential disclosure.
  • Coordinate large data clean-up projects, special report requests, and responses to unique and complex client and matter information requests from a variety of customers.
  • Works with specialists, analysts, and other team members to address time sensitive issues for routine pre-engagement, large litigation, and restructuring related matters.
  • Respond to department email communications with accurate information in a timely manner.
  • Serve as public face of Business Intake and Conflicts. Answer the Firmwide hotline and handle and/or refer as appropriate.
  • Responsible for follow-up and processing of all intake requests pending action by an approver, submitter, or submitting attorney to ensure compliance.
  • Establish and perform maintenance on confidential and ethical walls. Coordinate notifications and acknowledgements.
  • Assist with processing new client and new matter forms and amending requests for clarity, completeness, and additional parties when needed.
  • Coordinates the monitoring and updating of materials as needed on the Departments internal and external facing sharepoint spaces, including Excel lists and subsequent supportive documents.
  • Responsible for directing unidentifiable materials and calls to the appropriate positions or department while demonstrating high levels of professionalism and sensitivity.
  • Assist with indexing Firmwide client retention agreements.
  • Recommend technology and process improvements.
  • Serve as technical liaison – monitor end-user errors and intake technical problems.
  • Serve as training liaison
  • – attend training/orientation sessions as subject matter expert for new and existing employees.
  • Be available for emergency matters, including evenings and weekends.
  • Special projects as assigned.

Qualifications &amp Requirements

  • Two to three years of related experience processing business intake and supporting a functional areas initiatives, including compliance and regulatory monitoring is preferred.
  • This position needs to be familiar with legal terminology, possess a sharp business acumen and requires a strong attention to detail. A flexible schedule and overtime is required.
  • This position requires a bachelors degree.
