GENERAL DESCRIPTION:

This position is responsible for data collection and reporting to various entities within the Wyoming State Hospital and the Department of Health. This position also serves as the assistant to the Administrator, Director of Nursing, Assistant Director of Nursing, Director of Social Work, and Leadership Team at the Wyoming State Hospital.

The city of Evanston is a small and friendly Rocky Mountain community that is a 45-minute drive from the world-famous ski slopes of Park City, Utah. There are concerts, shopping, dining, professional sporting events, and an international airport 60 minutes away in Salt Lake City. Evanstons area is excellent for recreational activities such as hiking, camping, fishing, biking, snowmobiling, and cross-country skiing.

ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function which may be performed at the job level.
  • Contributes by providing coordination, support, technical assistance, research, and guidance to agency, department, project, or program.
  • Monitors, tracks, and records all documentation relative to the agency, program, or project.
  • Maintain database, and monitor records.
  • Involved with records or data management for large projects, programs, and/or departments.
  • Creates presentations and comprehensive reports.
  • Provide research and analysis and monitor data for policy issues that may require agency attention.
  • Provides information updates to appropriate personnel in agency, program, or project.
  • Collect, appraise, inventory, process, conserve, transmit and manage documents and items of legal, administrative, and evidentiary significance and value to the State of Wyoming and its citizens.
  • Receives examines checks for accuracy and verifies that required data has been submitted for a variety of entities.
  • Verifies data.
  • Compiles reports for agency personnel.
  • Involved with records or data management for large projects, programs, and/or departments.
  • Creates presentations and comprehensive reports.
  • Explains policies, procedures, and practices to other agencies.
  • Arranges and describes permanently valuable records according to professional guidelines and practices to aid the retrieval of information &amp maintains the evidential value of records.
  • Arranges and attends all Leadership meetings, prepares minutes, and tracks leadership members schedules to plan and coordinate effectively.
  • Coordinates and assists in the interview process for possible candidates.

Qualifications



PREFERENCES:

Preference may be given to those with extensive experience as an administrative assistant.
Preference may be given to those with experience in the legal profession.

KNOWLEDGE:


  • Knowledge of methods of agency-specific types of research.
  • Knowledge of respective agencys policies and procedures.
  • Knowledge of databases.
  • Knowledge of various types of computer programs.
  • Knowledge of excellent filing and retrieval skills.
  • Knowledge of the legal profession and information relative to legal documents.

MINIMUM QUALIFICATIONS:

Education: Bachelors Degree (typically in Records or Data Management) Experience: 0-2 years of progressive work experience (typically in Records and Data Management) with acquired knowledge at the level of a Records &amp Data Management Specialist I OR Education &amp Experience Substitution: 3-5 years of progressive work experience (typically in Records and Data Management) with acquired knowledge at the level of a Records &amp Data Management Specialist I Certificates, Licenses, Registrations: None

PHYSICAL WORKING CONDITIONS:


  • The employee may sit comfortably to perform work. However, there may be some walking, standing, bending, carrying of light items, etc.

NOTES:
  • FLSA: Non-Exempt
  • A background check, including fingerprinting, will be completed through the Wyoming Division of Criminal Investigation, the Wyoming Department of Family Services, and the F.B.I. for every successful applicant.
  • Pre-employment drug and alcohol testing will be conducted on safety-sensitive positions. Drug testing will be completed on any position if reasonable suspicion exists.
  • The Wyoming State Hospital uses E-Verify, an Internet-based system, to confirm the eligibility of all newly hired employees to work in the United States.
