GENERAL DESCRIPTION:

The Wyoming Department of Health is seeking highly motivated and organized applicants for a full-time senior office support specialist position with the Public Health Sciences and Community Health Sections in Cheyenne. This position is responsible for complex and diverse administrative support work requiring organizational skill, knowledge, interpretation, and application of state and agency policies and procedures.

ESSENTIAL FUNCTIONS : The listed functions are illustrative only and are not intended to describe every function which may be performed at the job level.
  • Review and proofread documents for grammar, spelling, punctuation, document formatting, and department protocol
  • Provide executive-level administrative support using written, verbal, and electronic methods of communication.
  • Maintain confidentiality and integrity of all department information.
  • Responsible for senior administrative management of day-to-day operations, assigned programs, or projects may provide leadership and guidance to administrative staff.
  • Coordinate Section Chiefs’ calendars for meetings and conference calls.
  • Provide instruction and training on office policies, procedures, and rules.
  • Make all necessary travel arrangements for Section staff.
  • Receive, analyze, and respond to requests for information.
  • Investigate customer complaints and take the steps necessary to resolve them.
  • Explain program requirements and interpret policies.
  • Track information.
  • Prepare routine response/notification letters.
  • Complete and monitor fiscal documentation such as travel vouchers, expense vouchers, and accounting of state purchase cards and requisitions.
  • Serve as a contract specialist and data administrator for units within the Sections
  • Complete processes necessary for new employees and provide training as appropriate.
  • Analyze, develop, and implement procedures for expediting administrative workflow within the two Sections.
  • Maintain and update inventory with support from unit staff.

Qualifications



KNOWLEDGE:


  • Knowledge of modern office practices, procedures, and equipment.
  • Knowledge of word processing, spreadsheet, and email programs, especially Microsoft and Google.
  • Knowledge of writing, formatting, reviewing, and editing documents for accuracy and completeness.
  • Knowledge of methods to tactfully and professionally respond to challenging conversations and situations.
  • Knowledge of Wyoming State Government processes and operations.
  • Knowledge of customer service.

MINIMUM QUALIFICATIONS:

Education:
Bachelors Degree (typically in Business) Experience : 0-1 year of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Support Specialist II OR Education &amp Experience Substitution: 3-4 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Support Specialist II Certificates, Licenses, Registrations: None

PHYSICAL WORKING CONDITIONS :


  • Typically, the employee may sit comfortably to perform the work however, there may be some walking, standing, bending, carrying light items, driving an automobile, etc.
  • Special physical demands are not required to perform the work.
