Job Description :
  • GENERAL SUMMARY
      Organizes and directs daily office services, operations and front line staff.
  • FUNCTIONAL DUTIES AND RESPONSIBILITIES
      • Directly supervises and manages all assigned support staff. Oversees timely and accurate completion of support staff work. Ensures adherence to office standards, procedures and protocols. Assists in providing day-to-day management for various clinical and support activities.
      • Oversees daily workflow of administrative staff, assures adequate staffing by determining staff assignments to provide coverage and optimize providers schedules. Analyzes workflow to assure maximum staff utilization.
      • Standarizes office procedures and initiates policy and procedure changes.
      • Interviews and selects new support employees, organizes orientation to train new employees in operational procedures, evaluates the performance of the administrative staff. Assures effective communication with staff on an ongoing basis. In collaboration with the Director, coaches and counsels for performance problems. Performs annual employee evaluations in a timely manner.
      • Oversees training within his/her area of expertise, which includes providing/facilitating training, tracking training, and validating the effectiveness of training.
      • Proficient and able to perform all aspects of the various administrative duties with a high level of competence, including scheduling, call center activities, inbound and outbound referral management, check in and check out.
      • Functions as a resource to operations in designing and implementing workflow changes that will increase the efficiency and effectiveness of operations.
      • Participates in Quality Assurance Program as needed.
      • Creates and updates provider templates.
      • Coordinates on-call and provider schedules.
      • Performs audits to review for complete workflow processes and patient flow, identifies key areas of improvement and staff training based on results.
      • Provides support to direct reports regarding complex scheduling or patient administrative issues, works as a liaison between the clinics and other support departments to resolve questions and promote patient satisfaction.
      • Provides coverage, support and training for other NLH ambulatory clinics as needed.
      • Performs other duties as required or assigned.
  • POSITION REQUIREMENTS
      Knowledge / Skills / Abilities Experience
        • Minimum of two (2) years related supervisory/management experience.
        • Three (3) years of secretarial/medical setting or equivalent experience.
      Education
      • Associates degree
