    Position Contract: 12-month, Non-exempt, Support Staff, Grade 4

    General Description:

    Metro Technology Centers is accepting applications for an Administrative Specialist who will assume responsibility for the daily management of a designated office by performing and/or supervising a variety of administrative support duties requiring good organizational skills and great attention to detail.

    General Qualification Requirements:

    Education/Experience:
    • High school diploma or G.E.D.
    • Thirty-six months office experience
    (Above requirements may be met by equivalent combination of education and experience)

    Representative Duties:
    • Recommends new approaches, policies, and procedures to effect continuous improvement in services to customers.
    • Provides all levels of administrative support based on the needs of the department including general office organization, ordering and maintenance of office supplies, ordering materials needed by staff for the function of the department, and assisting with events as needed.
    • Creates and edits material such as letters, memoranda, reports, statistical data and grant proposals. Enters and proofreads data into a variety of internal and external systems. Prepares business reports requiring some research and routine statistical computations.
    • Initiates purchase requisitions, budget transfers, processing invoices and maintains budgetary records for department or multiple departments.
    • Answers incoming phones, responding to inquires appropriately and screening incoming calls for referral to the appropriate person(s) as necessary.
    • Regularly checks and distributes departmental mail.
    • Answers correspondence for the office and drafts more complex correspondence with minimal instructions from the supervisor.
    • Responsible for developing office filing systems and maintaining office files.
    • Maintain confidential records including tests and personnel information. May handle cash and other valuables.
    • Sets priorities on clerical duties and interacts with other departments to insure organization efficiency.
    • Makes changes in office procedures as necessary for more effective operation.
    • Schedules appointments for department staff, make arrangements for conferences, and coordinates travel arrangements.
    • Performs related duties as assigned.
    Required Knowledge, Skills, and Abilities:
    • General administrative support experience to include: Microsoft Word – advanced proficiency. Excel – intermediate proficiency (adept with spreadsheet design and use of formulas.
    • Mathematics: addition, subtraction, multiplication, division, and statistical computations.
    • Business communication: uses creativity in composing or presenting oral or written communication.
    • Excellent communication skills including telephone etiquette and exemplary customer service skills.
    • Ability to analyze, problem solve and work independently.
    • Ability to maintain security of confidential materials.
    • Ability to give explicit or general directions.
    • Ability to work well on a team and with others.
    • Required to be bonded for cash handling purposes.
    • Reliable, dependable and punctual attendance.
