PRIMARY DUTIES &amp RESPONSIBILITIES The Hiring Range for this position is: $23.05615 – $28.82019/Hourly The deadline to submit applications is May 27th, 2024. Please note, The City of Aurora will conduct ongoing screenings of applications on a first come, first-serve basis as soon as we determine to have a qualified pool of applicants, this position may close quickly and without notice. This position is temporary and will conclude on December 31st. This is classified as VHNE (Variable Hour Non-Benefit Employee), where the selected candidate will work less than 29 hours per week. This position does not provide medical benefits. This position earns sick leave in accordance with the Healthy Families and Workplace Act Hybrid In-office/remote schedule. Work mainly remote but may be asked to report to an office setting one or two days a week. PRIMARY DUTIES &amp RESPONSIBILITIES
  • Provides administrative support including preparing meeting agendas, pre-planning and execution of City-sponsored events, and maintain and updating database information for specific department functions
  • Schedules and coordinates external and internal meetings which include Senior Management, Directors, Department Staff, and community partners
  • Receives and responds to a variety of external and internal requests for information, and routes calls and visitors as appropriate
  • Develops and maintains record keeping and reporting systems
  • Provides budget support, including processing department expenditures
  • Assist with answering multi-line phones for the Parks, Recreation and Open Space Department Administrative Office and other clerical tasks, as needed.
  • Researches and prepares policies and procedures for departmental and clerical functions
  • Researches, compiles and prepares a variety of materials for technical, statistical and analytical reports
  • Operates a variety of office equipment including personal computer and varied software
  • Schedules and maintains work load
  • Performs additional duties as assigned
MINIMUM QUALIFICATIONS &amp WORKING CONDITIONS An equivalent combination of education, training, and experience that demonstrates required knowledge, skills, and abilities may be considered. Education:
  • High school diploma or equivalent (GED) required
Experience:
  • At least 2 years progressively responsible administrative support experience including scheduling, event planning/execution, budget support and general research.
Abilities:
  • Ability to establish and maintain effective working relationships with employees, citizens and elected officials
  • Communicate effectively both verbally and in writing
  • Handle sensitive situations with tact and diplomacy
  • Prepare and complete special reports or projects
  • Maintain accurate records
  • Understand records management
  • Understand, interpret, and apply department or division policies and procedures
Skills:
  • Strong interpersonal and leadership skills
  • Skill in the use of computers including spreadsheet design, database programming and word processing software applications
  • Excellent written and verbal communication skills, including excellent telephone manner and strong customer service skills required
  • Experience processing accounts payable preferred.
WORKING CONDITIONS Essential Personnel:
  • When a local announcement of emergency or disaster is declared by the City, all City of Aurora employees may be required to work as essential personnel.
Physical Demands:
  • Light physical work lifting no more than 20 pounds at a time with frequent lifting or carrying of objects weighing up to 10 pounds
  • Frequent hand/eye coordination to operate computer keyboard and office equipment Vision to read and interpret reports, computer data and other written material
  • Frequent speech communication and hearing to maintain communication with employees and citizens
Work Environment:
  • Works primarily in clean, comfortable environment
Equipment Used:
  • Frequently uses standard office equipment including computer, calculator, multi-line telephones, copy/fax machines and postal equipment.
  • This position may require the incumbent to use personal equipment (e.g. vehicle, cell phone, tools, etc.) in the course of their employment
