General Summary of Position
MedStar Southern Maryland Hospital Center is looking for a full-time Administrative Assistant to support the Medical Director and Department of Anesthesia and Administrative Director and Depart of surgical Services. This position is often the first point of contact for customers of the departments of Anesthesia and Surgical Services. As such, the position requires administrative writing and reporting skills, coordination of meetings, schedules and calendars, Microsoft office skills, organization and time awareness, knowledge and maintenance of office equipment, travel logistics, and excellent communication skills. Administrative duties for the Departments of Surgical Services and Anesthesia which include making and receiving communications by phone or fax organizing meetings developing correspondence enters data into the computer system records, types meeting minutes for all department in Surgical Services. Organizes personnel record, maintaining and updating licensure, competency, and evaluation schedule.

Primary Duties
Performs administrative duties for the Surgical Services department which include making and receiving communications by phone or fax organizing meetings developing correspondence enters data into the computer system records, types meeting minutes for all departments in Surgical Services.
Organizes personnel records, maintaining and updating licensure, competency, and evaluation schedule and compiles monthly statistics for the department.
Interacts with physicians, their offices, visitors, team members and patients.
Maintains the schedule of the Medical Director of Anesthesia and Administrative Director of Surgical Services by planning and scheduling meetings, conferences, teleconferences, and travel.
Alerts the Medical Director of Anesthesia and Administrative Director of Surgical Services regarding any cancelations or changes to the daily schedule in a timely manner.
Exposure to sensitive and confidential information will occur and that this information will be kept confidential in order to protect department operations and maintain both associate and patient confidence.
Provides historical reference by developing and utilizing filing and retrieval systems recording meeting discussions and departmental meeting minutes.
Maintains office supply inventory, anticipating needed supplies, evaluating new office products, placing and expediting orders and receipt of supplies.
Ensures operations of office equipment, following manufacturer’s instructions, troubleshooting malfunctions, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques.
Maintains professional and technical knowledge by attending educational workshops, reviewing professional publications, establishing personal networks within MedStar Administrative Assistant staff.
Schedules department meetings and arranges for conference rooms/locations and refreshments as requested.
Prepares meeting agendas as determined by department leads.
Prepares correspondence and stuffs mail into envelopes, arranges for outgoing mail and packages to be picked up.
Assists in planning events and volunteer activities
Contributes to the overall department’s environment and success by accomplishing other requests as deemed necessary by the Medical Director and Administrative Director.
Performs all other related duties as assigned.

Qualifications
High School Diploma or GED, Required.
Experience with working in a medical facility, physicians, executives and administrators, Required.
Ability to comprehend and follow the MedStar Southern Maryland Hospital Center Associate Handbook.
Ability to comprehend and follow the policies and procedures for MedStar Southern Maryland Hospital Center.
Ability to read, write and speak or communicate in English to successfully accomplish the essential duties of the position.
