Estimated Appointment End Date (Continuous if Blank) Full/Part-Time Full time Job Type Regular Compensation up to $19.71 hourly Job Description The Oklahoma Department of Agriculture, Food and Forestry (ODAFF) is seeking a full time Administrative Assistant in the Forestry Division. This position (PIN #04000144) is in state government, located in Oklahoma City, OK. The hourly pay for this position is up to $19.71 based on education and experience. Position Description: This position will be responsible for providing administrative support to the Forestry Division’s Fire Management and Forest Management programs. Support functions will include customer service, records management, data management and office management as well as inventory, fleet and processing of claims will be assigned by Forestry staff as needed. Typical Functions:
  • Participate in assigned projects as team member or team leader.
  • Develop and implements procedures for efficient office management. This will include the organization of the office area, ensuring supplies are in stock and available to staff and equipment/electronics are in working order.
  • Utilize Microsoft Office 365 and desktop applications for emailing, document creation, data sharing and overall data management.
  • Initiate correspondence requiring knowledge of agency or program procedures and policies.
  • Develop and maintain confidential or complex files both electronically and in paper form.
  • Refer internal and external customers to division specialists concerning programmatic rules, regulations, policies, and laws.
  • Assist with administrative operational functions such as invoicing, processing of claims, inventory, fleet, bookkeeping and other duties.
  • Manage incoming calls. Directing them to the appropriate personnel within the division or department. Ensures callers are directed to the correct individual or agency to address their inquiries or concerns whenever possible.
  • Proofread and reviews agency documents and correspondence for errors or deletions. Refers corrections to division specialist for confirmation.
  • Perform other office tasks and duties as directed by supervisor or office staff.
Level Description: At this level employees are assigned routine duties and responsibilities. Employees will coordinate internal and external activities of the organization or program, respond to routine inquiries in both written and oral form, perform routine fiscal duties, and complete routine customer service requests from internal and external customers. Education and Experience: Requirements at this level consist of a bachelor’s degree or four years of technical clerical, administrative, secretarial, or general office work or an equivalent combination of education and experience. Knowledge, Skill, and Abilities: Requirements at this level include knowledge of spelling, punctuation, and business English business mathematics of modern office methods and procedures the maintenance of complex records and the major policies and procedures governing assigned programs. Ability is required to establish and maintain effective working relationships with others perform confidential work and maintain confidentiality interpret and complete routine matters according to agency policies and procedures and follow oral and written instructions. Physical Demands and Work Environment: This position is set in a climate-controlled office environment. This position is stationary and often requires one to remain in a stationary position more than 90% of the time while operating an office computer, or other office equipment. Must be capable of lifting and moving light objects (less than 25 pounds), such as boxes of office supplies, files, books, light office furniture or equipment. Includes but not limited to occasional lifting and moving of heavy objects (25 pounds or more) may be necessary, with the use of applicable equipment, such as a dolly, heavy boxes of brochures, books, or office supplies. Limited travel may occur. Additional Information: This position is subject to a twelve-month probationary period.
