Pay Grade/Pay Range: Minimum: $18.32 – Midpoint: $21.97 (Hourly N4)

Department/Organization: 870501 – Student Governance

Normal Work Schedule: Monday – Friday 8:00am to 5:00pm weekends may be required.

Job Summary: The Administrative Assistant II provides administrative support for the operations of unit. Performs moderately complex and well documented administrative tasks. Acts as office liaison/receptionist. Receives and routes phone calls, emails, and/or guests. Maintains files and enters data. Drafts and sends communications on supervisor/departmental staff behalf. Reconciles P-Card/Concur for other staff/faculty against departmental budget. Performs some simple budget monitoring/entry. Operates standard office equipment such as personal computers, copiers, fax machines, etc.

Additional Department Summary: The Department of Student Governance and Citizenship serves as a mission-critical component of The University of Alabama and the Division of Student Life by providing programmatic, administrative, and financial support to the Student Government Association. The department is a high profile, fast-paced, student-centric environment with multiple shifting priorities providing direct and indirect advisory and administrative support to over 400 elected and appointed student leaders.

Acts as the first point of contact for students, faculty, staff, and guests. Serves as a resource to all of these various stakeholders regarding services, programs, and initiatives of the Student Government Association. Provides administrative support to the SGA Advisor and be responsible for the hiring, training, and supervision of student employees. Provides supplemental program and event support by making facility reservations, organizing catering, planning travel, and managing department calendars. Completes required training and promoting a safe, hospitable, and respectful workplace. Holds staff accountable for completion of required training. Has personal accountability for financial reporting and responsibility for establishing, enforcing, and following internal processes and controls as outlined in UA policies and procedures.

Required Minimum Qualifications: High school diploma or GED and two (2) years of administrative experience OR associate’s degree or higher.

Skills and Knowledge: Excellent verbal and written communication skills. Ability to use and working knowledge of various computer software packages including Microsoft Word, Excel, Access, and PowerPoint. Proficient in Concur, SGT Banner, and BuyBAMA. Ability to maintain confidentiality and interact with a wide range of local, state, and national governmental agencies and officials. Adept at working in a fast-paced, highly visible environment with constant student interaction. Strong customer service and interpersonal skills are necessary. Demonstrated commitment to expanding multicultural knowledge, awareness, and skills as evidenced through demonstrating self-awareness understanding and valuing others demonstrating knowledge of social inequalities interacting effectively with people from a variety of backgrounds and experiences.
