Normal Work Schedule: Monday – Friday 7:30am to 4:15pm

Job Summary: The Administrative Assistant I provides administrative support for the operations of unit. Performs routine and well documented administrative tasks. Acts as office liaison/receptionist. Receives and routes phone calls, emails, and/or guests. Maintains files and enters data. Operates standard office equipment such as personal computers, copiers, fax machines, etc.

Additional Department Summary: Acts as the first point of contact for all parents, visitors, UA students, faculty, staff, and external contacts for the Childrens Program either in person or by phone. Answers questions, directs inquiries to the appropriate person, assists in managing the database for all persons requiring access to the childrens area while maintaining confidentiality. Maintains waiting list databases, and email communications. Assists in supervising work study and graduate students as well as securing substitute teachers as needed. Maintains USDA records, assists in budgets and requisitions as well as travel itineraries, overseeing work orders and other duties as needed to assist with the director and assistant director.

Required Minimum Qualifications: High school diploma or GED or higher.

Skills and Knowledge: Basic understanding of personal computers and other basic office equipment. Good organization, communication and public relations skills. Knowledge of Microsoft Word, Excel, Publisher, Database management, Outlook, Banner, Concur, Child Nutrition Program, AIM. Friendly, engaging, professional, and discrete. Excellent communication skills, both verbal and written.
