ABOUT THIS POSITION


Over 48 million passengers traveled through Phoenix Sky Harbor International Airport in 2023, one of the busiest airports in the country in the nations 5th largest city. Sky Harbor is the largest of three airports in the Phoenix Airport System (Phoenix Sky Harbor, Deer Valley, and Goodyear airports) which is operated by the City of Phoenix Aviation Department and has an economic impact of $38 billion annually.

The Aviation Department is seeking two experienced administrative professionals to serve as Administrative Assistant Is in the following roles:

Facilities and Services Division:

Supporting the Sustainability and Asset Management teams which are critical to the continued success of the Aviation Department and its long-standing commitment to sustainability and livability for the Phoenix metro area. The successful candidate will provide the administrative and organizational support necessary to achieve ambitious sustainability and asset management goals and objectives in support of the Aviation Departments strategic plan. This position may supervise other support staff. Public Safety and Security Division:

Supporting the Public Safety and Security Division which focuses on the prevention of and protection from events that could endanger the safety and security of the public from significant danger, injury, or property damage. Areas of responsibility include the Airport Command Center, Safety Team, and Badging Office. All team members will participate in an airport emergency preparedness culture with an understanding that the operation is available to the public 24/7, 365 days a year. The successful candidate will have exceptional time-management and organizational skills as well as a willingness to collaborate and build relationships with internal and external customers as well as airport stakeholders.

Essential functions of these positions include, and are not limited to:

  • Managing section meetings and calendars (scheduling, agendas, minutes).
  • Managing administrative support functions such as hiring processes, travel requests, and document control.
  • Drafting policies, procedures, processes, and other documents and reports.
  • Accurately entering data into and generating reports from various software and resources.
  • Contract invoice processing and budget tracking.
  • Tracking, analyzing, and reporting on key performance indicators and other benchmarks.
  • Updating internal and external website pages and related materials.
  • Supporting development of capital project business cases.
  • Coordinating and tracking staff training and other requirements and processes.
  • Supporting purchasing and supply functions for the section.
  • Communicating effectively verbally and in writing, including preparing narrative reports, briefing sheets, PowerPoints, spreadsheets, and other documents.

SALARY


Pay Range: $23.74 to $44.77 per hour.

Hiring Range: $23.74 to $35.08 per hour.

MINIMUM QUALIFICATIONS

  • One year of paraprofessional experience in governmental research and finance administration or paraprofessional experience aiding an administrative officer in technical and administrative problems and affairs.
  • Bachelors degree in public or business administration or a related field.
  • Other combinations of experience and education that meet the minimum requirements may be substituted.

PREFERRED QUALIFICATIONS


The minimum qualifications listed above, plus:

  • Advanced computer skills (Microsoft Word, Excel, PowerPoint, etc.).
  • Experience managing administrative support functions.
  • Experience working with SAP, SRM, Unifier, and Concur.
  • Experience hosting / supporting virtual and in person meetings.
  • Experience effectively prioritizing competing priorities in a fast-paced work environment.
  • Experience providing support to, and calendaring for, Management / Senior Level Executives.
  • Supervisory experience in a team environment.
