Warehouse Shipping Coordinator – Learn International Supply Chain

Position Summary: The warehouse shipping coordinator is primarily responsible for performing a combination of manual or automated tasks necessary to ensure the efficient flow and shipment of pharmaceutical products to an international customer base. This will include functions of picking, packing, export document preparation/review, logistical planning with carriers and freight forwarders, shipping, and tracking orders. This person must demonstrate the ability to develop in depth knowledge of work processes and tools within own work area.

Performance Objectives:

  • Perform warehouse responsibilities: You are expected to learn and follow the company’s procedures to meet the company’s order fulfillment needs and maintain the company’s shipping schedule, consistently using these operating guidelines.
  • Fill/Process Customer Orders: You will be required to provide correct and timely processing of highly detailed customer orders utilizing established company processes, within 30 days of training. This includes accurate picking, packing, document preparation, and booking of customer shipments. You will work closely with the Operations Manager to ensure outbound shipments are executed correctly. You will sometimes be required to coordinate with freight forwarders to consolidate freight.
  • Oversee all details relating to international air/ocean shipments: Plan and manage international logistics and transportation and communicate with freight forwarders. You will also prepare and/or review any related documentation such as commercial invoices, packing lists, air waybills, shipper’s letter of instruction (SLI) and/or bills of lading, for all customer orders within 30 days of training.
  • Complete export filings: You will be required to complete the certification and successfully file an export declaration using the ACE portal for all shipments within 6 months of training. Maintain the appropriate documentation and recordkeeping per U.S. export regulations.
  • Coordinate and plan cold chain shipments & forecast cold chain shipping supplies needed to ensure there is no interruption of orders.
  • Maintain clear & open communication with shipping partners and monitor shipments from door to door (maintain the “daily shipment tracking log”). Handle any shipment issues or delays noted throughout this process. Effectively and promptly communicate your progress as indicated.
  • Maintain high level visibility and awareness of the shipping schedule deadlines in conjunction with the Operations Manager.
  • Operate basic warehouse equipment and maintain a clean and organized work environment.
  • Stage new orders, obtain carrier rates and prepare shipping quotations.
  • Receive shipments: You will be required to cross train and follow the company’s established procedures to receive shipments of pharmaceutical products which require a systematic and detailed approach. You will be expected to accurately receive and record inventory, and correctly stock all received shipments within 15 days of training.
  • Participate in the implementation and ongoing development of export and DSCSA compliance processes and procedures and adhere to Good Distribution Practices.
  • Maintain inventory control in conjunction with the Operations Manager and other relevant business units.
  • Provide customer service support to ensure 100% customer satisfaction. Provide solutions to client’s issues, resolve any complaints, and ensure rapid order delivery.
  • Collaborate with other departments in the company: Communicate with other team players in other business units to meet the customer’s order fulfillment expectations. Develop a quick-response program for any delays impacting order fulfillment or shipping schedules.
  • Demonstrate attention to detail: Document and accurately communicate customer’s requests while providing clear and timely instructions to other individuals where necessary.
  • Apply critical, creative thinking in all situations: Respond with flexibility and balance client demands with a friendly and positive attitude.
  • Participate in a process to continually improve organizational effectiveness: Develop systems and be proactive in seeking ways to be more efficient and lead other team members to be more efficient with the goal of contributing to the company’s competitive edge.
  • Establish a systematic workflow: Evaluate the current workflow for inefficiencies and develop potential solutions to improve and automate that business process in a way that can be utilized throughout the organization.
  • Use MS Office skills effectively: Basic e-mail tasks in Outlook required from the date of hire include managing folders and sub-folders, managing contacts, managing the calendar, managing tasks, and managing appointments and events.
  • Communicate clearly and professionally, both verbally and in writing: Demonstrate the skills necessary to produce written correspondence for work-related situations with respect and professionalism as you represent the company from the date of hire. You will also be required to effectively convey information verbally, in a clear and concise manner. Professionalism and successful communication are critical for this role.

Desired Skills & Experience:

  • Experience in exporting or pharmaceutical industry highly desirable. As previously mentioned, international supply chain experience gives you a competitive edge, so if you have it, be sure to mention it.   • Ability to speak, read, and write, a second language preferred.
  • Database experience with SAP Business One strongly preferred, but experience with another enterprise database is also considered.

  • Physical activities include: Staying stationary in front of a computer; moving throughout a warehouse and in between aisles; operating computer and other office/warehouse machinery; ability to identify product names, item numbers and shelf/bin locations; position self to reach above the shoulder and below the knee to pick/pack orders; ascend and descend a short ladder; and frequently move cartons/totes weighing up to 50 lbs.
