JOB DESCRIPTION
SECRETARY I: CENTRAL OFFICE SECRETARY
Position Goal:
To provide efficient attention to details and process matters pertaining to various central office functions, transportation, school lunch, and facilities.
Position Responsibilities:
Transportation
- Coordinates student transportation under the direction of the Assistant Superintendent for Finance & Operations, relaying all information to the transportation company.
- Publish and post annual bus routes to the district website.
- Maintain up-to-date bus lists.
- Coordinate bus stops with the transportation provider.
- Process all bus changes as required.
- Maintains student transportation database with respect to transportation.
- Handles day to day bus issues including parent concerns and complaints referring them to the
Assistant Superintendent for Finance & Operations as required.
- Checks sex offender website every three weeks for transportation routing purposes.
School Lunch
- Maintains database on free & reduced lunch lists.
- Notification filing and verification process for free & reduced applicants.
- Performs quarterly operational audits with Sodexo staff.
- Attends training as required.
Facilities
- Provides clerical support for Director or Facilities ordering supplies, entering requisitions etc.
- Coordinates use of all school buildings for all outside activities by processing building use forms and maintaining a database of building reservations. Coordinates activities with the Parks & Recreation department and the Director of Athletics and Student Activities.
- Ensures that all parties using facilities have an insurance certificate on file.
- Prepare estimated costs for individuals use of facilities.
- Prepares monthly reports on use of facilities.
- Prepares billings for use of facilities as required.
- Supplies badges for employees and maintains a database for new hires and employees exiting the district.
Central Office
- Acts as Central Office receptionist.
- Greets, makes welcome, and directs all people corning to the Board of Education Offices..
- Provide clerical support as needed to Central Office, e.g., reference checks, etc.
- Coordinates ordering of supplies for the Central Office.
- Opens and distributes Central Office mail.
- Copies. collates. folds materials as needed.
- Coordinate Senior Tax Defrayal Program
- Safety Committee secretary
- Maintains schedules and communication with school crossing guards and the courier.
Additional Duties:
Perform any other related duties as assigned.

Qualifications:
Any combination of education and experience providing the required skill and knowledge for successful performance would be qualifying. Typical qualifications would be equivalent to:
- High School diploma or equivalent.
- Advanced post-secondary school experience is desirable.
- Prior successful clerical experience necessary.
- Such alternatives to the above qualifications, as the Board may find appropriate and acceptable.
Knowledge Skills and Abilities:
- Ability to carry out instructions furnished in written or oral form.
- Ability to add, subtract, multiply and divide, and perform arithmetic operations as needed.
- Proficient in all secretarial skills: using MS Word and Excel etc.., and use of all office machines
- Ability to work with a diverse group of individuals.
- Ability to maintain confidentiality of information regarding students, employees and others.
- Ability to establish and maintain cooperative working relationships with parents, staff and others contacted in the course of work.
- Ability to report work orally or in writing to supervisor as required.
- Effective writing and verbal communication skills.
Physical and Mental Demands, Work Hazards
Work in standard office and school building environments.
Terms of Employment:
As agreed between the Rocky Hill Educational Secretaries Local l 303-201 and the Board of Education.
Evaluation:
Performance in the position will be evaluated in accordance with non-certified evaluation procedures.
FLSA Status: Non-exempt
Job Type: Full-time
Pay: $26.15 – $29.06 per hour
