Occupational Summary

Support the DCRI-Facilities team through a variety of administrative tasks and services, ranging from staffing the receptionist desk to updating the intranet web page. This position will be the “Face of the DCRI” for guests, visitors and a first-line of contact for faculty and staff seeking assistance while in the building. The Facilities team provides a wide range of services including parking services, security, badging, housekeeping, breakrooms, office supplies, furniture, IT and AV support, and space planning. This position will perform a variety of clerical duties of a complex and technical nature in support of general and special office activities to relieve supervisor of clerical and routine responsibilities and to maintain an efficient and effective operation.

Work Performed

  • Serve as DCRI receptionist greet/check in visitors direct visitors to the correct personnel assist with parking validation
  • Act as point of contact for DCRI mainline telephone, take messages, screen calls and reply to questions in accordance with general instructions and office procedures and policies transmit instructions and/or information to and from personnel
  • Screen, sort and distribute incoming and outgoing mail and packages respond to or process mail or documents independently in accordance with departmental procedures.
  • Set up and maintain varied computerized or manual files of records, reports and correspondence required for reference and efficient operation maintain logs and records compile and summarize lists and/or other information for regular or special reports from a variety of sources.
  • Assist with maintaining the DCRI facilities intranet webpage.
  • Assist with main conference room audiovisual equipment and troubleshooting issues maintain ServiceNow tickets and follow up with requestors.
  • Perform other related duties incidental to the work described herein.

Required Qualifications at this Level

Education/Training

Work requires a broad knowledge of clerical and accounting principles and practices normally acquired through two years of post-secondary education in secretarial science or a related business field.


Experience

Work generally requires two years of related secretarial/clerical experience to acquire skills necessary to administer office functions related to office management, communications, and budgetary/accounting activities.


OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE


Skills

Proficiency in use of Microsoft Office applications

Outlook for standard business functions, including calendaring
