The Sample Coordinator is responsible for sample management of each seasonal product lines-from sample ordering, tracking, and distributing internally and externally to brand partners. In this role, the sample coordinator assists the Marketing and PR team, in addition to providing sample support for Sales, Design & Merchandising, and eCommerce teams.
Position Overview:
- Organize and maintain log/database that tracks samples are between merch/marketing/photo team.
- Assist Marketing in coordinating and shipping samples needed for catalog retouching and catalog shoots
- Unpack, tag, log and organize samples received seasonally
- Track and update samples in log that are being utilized for other shoots prior to being passed back to merch i.e. accessories
- Be the liaison between MA + Marketing pass dates (MA will still do initial pass, and provide design call outs + swap outs)
- Showroom (sample closet) organization in 2 locations – HQ office and Distribution Center along with MA
- Packing/unpacking samples during pass off.
- Organizing, retagging, and checking condition of samples as needed when returned from catalog location shoots.
- Organize the movement of samples and styling items between our HQ office and our Distribution Center, on the shuttle or personal transportation
- Keep a log of past season samples that are packed for samples sales or company sales. Boxes should be marked by season/year.
- E-Comm Photo Shoots: Track samples live on photo shoots. Work with stylist on set to ensure all samples are kept organized. Confirm all samples are accounted for and photographed. Inputting style numbers for each item as it is being shot to ensure each digital file is correctly labelled. Re-tagging samples and organizing after each shoot.
- Attending e-comm style-outs to ensure stylist has all items needed for next shoot.
- Liaison between E-commerce manager and art director communicating sample count for each delivery/shoot.
- Keeping shot lists up to date with image status before, during and after the ecomm shoots
- Constant communication with Merch team to ensure all samples are correct before pass off for E-comm shoots.
- Making sure samples are pressed/steamed and photo ready before each photoshoot.
- Keeping studio styling room clean and organized. Returning all styling pieces to styling racks.
- 1 + year of experience in the fashion industry, experience with samples preferred.
- Great follow up skills with cross functional partners on sample status, pass offs, returns and condition.
- Must have a strong passion and admiration for product.
- Excellent organization skills and attention to detail.
- Excellent verbal and written communication.
- Strong ability to create relationships across all teams.
- Understanding of business driver components (eg. sales reports, history, and company trends).
- Strong ability to manage time successfully and execute on priorities in a timely manner.
- Must be a self-starter and demonstrate the ability to operate independently.
- Experience with Microsoft Office, STRONG EXCEL skills and Google Suite
- Must be able to drive and have transportation when moving product between Olive and Vernon
