Job Description:
Provide receptionist services for clients at their site.
Essential Job Responsibilities
- Work closely with the clients staff to assist with front office
- Answer incoming telephone calls and forward to the appropriate person
- Take accurate and complete messages for those who are unavailable
- Promptly greet and announce visitors in a friendly and business-like manner
- Maintain a neat and organized reception desk and front lobby area
- Order and stock supplies as needed
- Perform other administrative duties as requested
- Provide exceptional experience end-to-end to both guests and colleagues
- Coordinate visitor check-in and scheduling of conference rooms for both external and internal meetings via-internal Condeco system
- Work with the office service team to maintain front of house conference rooms, ensuring they are tidy and clean for upcoming meetings
- Manage advanced vendor on boarding processes including obtaining COI from appropriate external parties, requesting from various internal departments, and relaying them to OMP team while completing detailed CAF
- Provide daily pantry and office services including coffee service, snack and supply inventory, and printer check and paper refill
- Manage incoming and outgoing mail, shipping and receiving
- Manage seating assignments and floor plan updates
- High School Diploma or GED
- Minimum of 1 year work experience preferably as a Receptionist
- Previous experience in a client service field preferred
- Ability to multitask with attention to detail
- Ability to handle complaints with professionalism, patience, and diplomacy
- Working knowledge of MS Word, Excel and Outlook
