Position Summary Administrative Responsibilities: The Program Operations Coordinator will be responsible for a wide range of crucial administrative tasks, including but not limited to scheduling meetings, overseeing correspondence, managing reimbursements, handling student employment matters, collecting and managing data, coordinating facilities, and updating event calendars. These responsibilities are fundamental to the smooth operation of the program and require meticulous attention to detail and strong organizational skills.
Event Planning: In addition to administrative duties, this position will play a key role in event planning for university and foundation-sponsored events. This will involve conducting research, coordinating with venues and vendors, and collaborating with program staff to ensure successful event execution. Given the importance of events in fostering community engagement and advancing program objectives, having a dedicated staff member focused on event planning is essential.
Positive Partner to the Leadership Team and Students: As a valuable Scott Scholars Program Administrative team member, the Program Operations Coordinator will be a positive and professional partner to the Leadership Team and students. They will provide essential support to program leadership, help facilitate communication and collaboration among team members, and serve as a resource for students seeking assistance or information about program activities.

The Program Operations Coordinator position is essential to meet the growing administrative and event planning needs of the Scott Scholars Program. By dedicating a staff member to these responsibilities, we can enhance the efficiency and effectiveness of program operations, improve the quality of events and services offered to students, and ultimately contribute to the overall success and impact of the program.

Job Duties Responsibility Area: Program Operations
Duties: Contributes significantly to the effective functioning of the Program through a diverse range of responsibilities. Manages administrative and program support tasks for both the UNO and UNMC Scott Scholar programs, supporting a five-member administrative team and approximately 180 Scott Scholar students. Key responsibilities will include:
B udget management , including monitoring program budget to ensure financial resources are allocated effectively. Collaboration with Associate Executive Director to track expenses, process invoices, and reconcile financial records.
Vendor and contract management by coordinating with vendors and contractors to secure services, negotiate contracts, and ensure timely delivery of goods and services for the program. Additionally, the Operations Program Coordinator will maintain a database of vendor contracts and contact information.
Stakeholder Engagement. The Operations Program Coordinator will be responsible for cultivating positive relationships with key stakeholders including students, staff, S&ampW Scott Foundation members, and University leadership. The Operations Program Coordinator will organize and facilitate meetings, events, and calendars to ensure stakeholders and informed and engaged in program activities.
Compliance, reporting, and data management. The Operations Program Coordinator will ensure compliance with Scott Scholar Program and University of Nebraska policies, procedures, and regulations. This position will also prepare regular reports by collecting and managing student data.
Coordinating student employment, training, and onboarding. The Operations Program Coordinator will develop and deliver a recruitment strategy for student employees and design studio student interns. This position will also develop and deliver training programs for new student staff and other program participants. This position will also provide ongoing support and training to existing staff members to enhance their skills and knowledge.
