The Oregon State University Division of Extension and Engagement invites applications for a full-time Office Specialist 1 for the OSU Extension Service Benton County Office. This position is located in Corvallis, Oregon.

This Office Specialist 1 is a member of the OSU Extension Benton County Office support team and contributes to a welcoming and respectful workplace culture. This position provides routine office support tasks for the OSU Extension Benton County Office. The Office Specialist provides educational resources and general assistance to Extension clients and/or refers clients to the appropriate faculty or staff member. The ability to travel is required to perform office-related errands such as picking up or delivering materials to the OSU main campus, supply stores, printing and mailing.

Position Duties
This Office Specialist embeds the commitment of the university to a collaborative and inclusive community in all interactions and duties performed.

60% – Reception and General Support

  • Answer multiple phone lines, screen and direct incoming calls.
  • Greet visitors and provide instructions and directions.
  • Inform public about specific information and services.
  • Provide information to clientele when requested.
  • Handle the sale of publications.
  • Take in registration funds for programs.
  • Reserve meeting rooms.
  • Provide water and canner lid testing to clientele.
  • Maintain office reservation and checkout system.
30% – General Office Support

  • Pickup, open and distribute mail, and prepare mailings.
  • Meter and deliver all out-going mail to USPS or other sites as appropriate.
  • Update and maintain Extension databases.
  • Maintain and organize office calendars.
  • Order office supplies and equipment.
  • Organize and maintain publication files, including publication orders.
  • Assist with equipment and facility repairs and maintenance.
  • Assist with special projects as requested in all program areas.
  • Open and close office daily per office hours.
  • Travel required for office-related errands such as picking up or delivering materials to the OSU main campus, supply stores, printing and mailing.
10% – Other

  • Contribute to a welcoming and respectful workplace culture.
  • Provide a welcoming and inclusive customer service.
  • Other duties as assigned.

Minimum Qualifications

Completion of courses or training in Office Technology OR One year of general clerical experience which included typing, word processing, or other generation of documents OR An equivalent combination of training and experience.

Additional Required Qualifications
  • A demonstrable commitment to promoting and enhancing diversity and inclusion.
  • Experience with computer software such as similar to Microsoft Office and web-based applications.

This position is designated as a critical or security-sensitive position therefore, the incumbent must successfully complete a Criminal History Check and be determined to be position qualified as per OSU Standard 576-055-0000 et seq. Incumbents are required to self-report convictions and those in Youth Programs may have additional Criminal History Checks every 24 months.
This position requires driving a university vehicle or a personal vehicle on behalf of the university therefore, the incumbent must successfully complete a motor vehicle history check, possess and maintain a current, valid driver’s license in their state of residence, be determined to be position qualified and self-report convictions as per University Policy 05-030 et seq.
Preferred (Special) Qualifications
  • Bilingual and Bi-cultural (English and Spanish).
  • Excellent oral and written communication skills.
  • Experience with creating marketing materials and promoting events.
  • Experience with Extension Services or other volunteer organizations.
  • Ability to interact positively with the general public and volunteers.
  • Ability to work independently and with frequent interruptions.
  • Ability to handle multiple detail-oriented tasks.
  • Ability to adapt to a changing technological environment.

Typical office environment.
