He is a pioneer in the field of computer networking, having developed the multi-protocol router while working at Stanford University in the 1980s. His work laid the foundation for the modern internet and paved the way for the creation of Cisco Systems, which has become one of the worlds leading technology companies. He started XKL to further advance his mission of providing reliable, easy to use, customer-focused data communication solutions.
We are currently seeking an Office Manager to join our growing team based out of Redmond, WA. This is a M-F, full-time on-site role.
The Office Manager will provide a broad range of support across the organization, all with the goal of fostering an inclusive, productive, and engaged work environment. This role will deliver excellent customer service while coordinating and managing the day-to-day operations of our corporate location to facilitate a physical space that enhances the employee experience. This role will also play a role supporting Human Resource with compliance, recordkeeping, and recruitment functions.
What You Will Do
Administrative
- Receive and greet visitors, answer general questions internal/external, reception duties, refer specific inquiries to appropriate individuals/ departments
- Support calendaring and scheduling for individual/all-company meetings
- Coordinate and book corporate travel, as necessary for conference participation
- Work with CFO on record retention policy development, rollout, and automation of existing file systems
- Provide recruiting support, to include job postings on ATS, pre-screening, and interview scheduling
Operations
- Facilities management, including security and building access (in partnership with IT) organizing office operations and procedures and interface with building management as POC
- Maintain a professional and consistent office image at XKL facility, including space & furniture layout
- Manage all shipping and receiving of parts/product for manufacturing and sales departments
- Ensure compliance with all local, federal, and state requirements (posters, manufacturing, etc)
Culture and Events
- Plan and execute company events, including All-Hands, happy hour socials, marketing, and community engagement activities
- Coordinate, calendar and conduct onboarding and orientation efforts for new employees
- Research, benchmark, and propose office offerings that support employee wellbeing initiatives to create a healthy and collaborative space
- Three or more years’ experience providing administrative/office support
- Associates and/or bachelor’s degree in Business Administration
- ERP systems experience, prefer Oracle or Minx
- Knowledge of business management practices
- Familiarity with human resource management a plus
- Ability to respond to sensitive matters with discretion, professionalism, and confidentiality
- Attention to detail and strong organizational skills
- Excellent interpersonal and communication skills, with the ability to connect and motivate
- Flexibility to adapt to changing priorities and manage multiple tasks simultaneously
- High level of professionalism and confidentiality
- Proficiency with Office Suite software and Email Management
- Must possess a valid driver’s license and insurance
