Job Summary
The Executive Administrative Assistant plays a vital role in supporting the leadership team and performs key administrative tasks within the organization. With responsibilities shared between department leaders, the ability to maintain schedules and closely guard confidential information is essential in this position.
Job Responsibilities
- Manages multiple calendars, including arranging and coordinating meetings, and logistics. Assist in the development and preparation of agendas and presentations. Manages onsite audiovisual system and conference room schedule.
- Coordinates travel itineraries and related arrangements including hotel, car rental, flights, etc. Processes and manages travel and expense reporting to ensure its accuracy and timeliness.
- Processes invoices, verifies validity, codes, and submits for approval and payment.
- Manages incoming and outgoing communications. Updates and maintains event communication lists. Drafts letters and emails, composes routine correspondence, and maintains department files.
- Assists in the coordination of employee engagement occasions, volunteer events, and large company meetings. May provide vendor coordination, catering arrangements, and on-site setup and support.
- Continually works to identify more efficient work techniques and suggests changes that can improve processes and procedures.
- Handles numerous other duties as assigned.
Job Requirements
- High School Diploma or GED required. Bachelor’s degree preferred.
- Minimum five years of previous experience focused on providing administrative support to senior level management. Travel coordination experience required.
- High level of confidentiality necessary with ability to work under minimal supervision.
- Exceptional customer interaction, conflict resolution, and attention to detail required.
- Strong communication including verbal and written skills. Effective builds relationships at all organizational levels and ability to present ideas at leadership level.
- Efficient with Microsoft Word, Excel, PowerPoint, Teams, and Outlook. Ability to learn new applications.
