Position Overview

The mission of the Dole Institute of Politics is to promote political and civic participation as well as civil discourse in a bi-partisan, philosophically balanced manner. By providing a forum for discussion of political and economic issues, fostering public service leadership, and encouraging participation in the political process, we emphasize that politics is an honorable profession and provide opportunities for all to interact with political leaders, practitioners, and authors. The Dole Institute also emphasizes that only through political and civic participation can citizens redirect the course of our nation.

Senator Bob Dole’s legacy at the University of Kansas was established in 1997, upon the gift of his papers to KU. The Robert J. Dole Institute of Politics was dedicated in 2003, in KU’s West District and became home to the Senator Elizabeth Dole legacy upon the gift of her papers in 2017.

Three distinct components of the Dole Institute are utilized to accomplish this mission: unique displays that tell the compelling story of Bob Doles life in the context of Kansas and The Greatest Generation; the largest congressional archives in existence that houses the papers of Senators Bob and Elizabeth Dole and is the scene of critical historical research; and finally, the aggressive public programming conducted by the Dole Institute. While the objective is to accomplish this mission on a broad scale, our location at the University of Kansas provides a unique opportunity for outreach to young people and students.

The Dole Institute is home to a museum dedicated to the legacies of Senators Bob and Elizabeth Dole, featuring the largest stained-glass American flag in the world, a memory wall dedicated to Kansas veterans of WWII, and the newly renovated Elizabeth Dole Gallery and Reading Room.

The Robert and Elizabeth Dole Archive and Special Collections department is responsible for collections, research, and exhibits at the Dole Institute. Both Senators’ personal papers and congressional materials are publicly available for research, attracting scholars from all over the world.

The Assistant Archivist reports to the Senior Archivist, and at their direction, engages in arrangement and description, collection management, and reference and access functions.

Job Description

60% Collections

Collection Management
  • Accession new donations in accordance with department practices.
  • Identify preservation and conservation needs within collections and maintain permanent and temporary exhibits.
  • Maintain proper environmental and security conditions in collection storage areas.
  • Manage space needs in collection storage areas and keep accurate collection locations/inventory.
Arrangement and Description
  • Develop work plans to process new and legacy collections.
  • Process collections primarily consisting of manuscript, photograph, and objects in accordance with accepted principles and practices.
  • Create new finding aids and maintain current finding aids.
  • Work with other department staff to convert and transfer finding aids to a new system.
Digitization and Metadata
  • Collaborate with other department staff to develop digitization priorities.
  • Assist with digitization projects, metadata, and other policies related to digital collections.
30% Reference Services
  • Serve as the primary backup to the Senior Archivist for reference and public services.
  • Support external reference requests, both on site and through phone and email.
  • Support internal reference requests, which includes K-12 and post-secondary instruction, exhibits, DIOP marketing and communications, and DIOP event support.

10% Visitor Services Support
  • Provide backup coverage for the museum visitor desk as needed.
  • Assist with Reading Room responsibilities for on site researchers, such as creating desk schedules, registering users, facilitating collection access and security in the Reading Room, paging boxes, and coordinating duplication requests.

Position Requirements

  • This position requires working on-site.
  • Some evening and weekend work may be required.

Required Qualifications

  • A bachelor’s degree PLUS one (1) year related professional experience.
  • Excellent written skills as evidenced by application materials.
  • Prior work experience that required excellent organizational skills and attention to detail.

Preferred Qualifications

  • Bachelor’s or master’s degree in library/information science with archival concentration, or museum studies, education, or history-related field with 1-year practical experience in archives.
  • Professional experience at a university or museum.
  • Demonstrated problem-solving skills, as evidenced by application materials.
  • Knowledge of or interest in the history of the U.S. Congress.
  • Experience processing political collections.
  • Experience using Archives Space or other archival management systems.
  • Knowledge of digitization and metadata standards and metadata standards.
