Position Summary
This position will become part of the Office of the Director Coordination Team (OOD-CT) at RENCI. The person in this position will work closely with members of RENCI’s Office of the Director (OOD) and OOD internal and external stakeholders and functional teams. High performance and independent work are critical for this position, as its role reflects directly on the efficiency of the RENCI leadership team, project teams, and RENCI internal operations.
This position will provide consultation, clerical, and administrative assistance to member/s of the Office of the Director and RENCI staff. They are responsible for:
1. Office administration: lead organizer, responsible for mail distribution, coordination of shipping and delivery of highly specialized items, consulting with managers to establish insurance and method of delivery (via USPS, FedEx, UPS) managing breakroom and office supplies (stock inventory, replenishing, ordering), working with the Finance Team, analyzing best practice and deals coordinating office operation by opening/closing doors, setting up meeting rooms and more straightforward technology tools as projectors and computers, assisting with minor space rearrangements, answering phones as needed.
2. Provide meeting support and planning support to RENCI and liaise with other UNC Departments seeking to utilize RENCI’s collaborative spaces for events and meetings, e.g., assisting in brainstorming days and best conference rooms, as well as providing information about outside vendors used by RENCI, making reservations, assisting with Zoom setting, scheduling RENCI wide events, note taking as needed, drafting slides as needed, planning and executing lightweight events including scheduling, invites, catering, and arrangements.
3. Actively contribute to one or more of the RENCI Service Teams to assist with leading and facilitating meetings for one or more RENCI Teams.
4. Maintaining selected office documentation and processes: RASR submissions, off-campus
user agreement (OCUA) forms, providing support to one or more RENCI Service Departments.
5. Hiring support: collaborate with hiring managers and hiring coordinators to provide timely and efficient administrative support by downloading confidential documentation and preparing hiring trackers, organizing, managing time conflicts, and scheduling meetings for the hiring committees, scheduling interviews and preparing candidate’s responses and communication, as well as documentation as necessary.
6. Traveling support: assist with traveling and lodging reservations and reimbursements.
7. Business information: serve as the point of contact and work collaboratively with RENCI staff on administrative questions and consultation, assisting with best practices, current processes, and referrals
8. Other duties as assigned.

Minimum Education and Experience Requirements
High school diploma or equivalency and one year of related office experience or equivalent combination of training and experience.
