The Louisiana Department of Treasury has one Administrative Assistant 6 vacancy located in the Administrative Division. This position serves as the confidential executive assistant to the First Assistant State Treasurer and the Deputy State Treasurer of Management and Finance.

This vacancy is being announced as a classified position and is open to all qualified applicants. This position requires the selected applicant to serve a minimum probationary period of twelve (12) months. Current permanent status state employees may be required to accept a probational appointment in lieu of promotion.

Qualifications

MINIMUM QUALIFICATIONS: Five years of experience in which clerical work was a major duty. SUBSTITUTIONS: Training in a business or clerical-related curriculum in a business school or technical institute will substitute for the required experience on the basis of six months of training for six months of experience for a maximum of one year of the required experience. Completion of a business or clerical-related curriculum in a business school or technical institute will substitute for a maximum of one year of the required experience. College training will substitute for the required experience on the basis of 15 semester hours for six months of experience for a maximum of four years of the required experience. NOTE: Business or technical school training with less than completion will only be credited in six month increments. Similarly, college training will only be credited in 15 semester hour increments. NOTE: Any college hours or degree must be from an accredited college or university.

Function of Work: To serve as the confidential executive assistant to the unclassified Secretary, Deputy Secretary, Undersecretary, Assistant Secretary or equivalent high-level classified/unclassified executive of a state department. Employees perform duties independently and exercise a high degree of independent judgment and initiative in determining the approach/action to take in non-routine situations. Level of Work: Advanced. Supervision Received: General from a high-level classified/unclassified executive. Supervision Exercised: May supervise 1-2 lower-level personnel. Location of Work: May be used by all state agencies. Job Distinctions:
Differs from Administrative Assistant 5 by the presence of serving as the confidential executive assistant to the unclassified Secretary, Deputy Secretary, Undersecretary, Assistant Secretary, or equivalent high-level classified/unclassified executive of a state department.

Examples of Work

Serves as confidential executive assistant to the First Assistant State Treasurer and the Deputy State Treasurer for Management and Finance, who oversee the operations of Human Resources, Fiscal, Purchasing, Internal Audit, and Information Technology Divisions. Relieves First Assistant and Chief of Staff of all administrative matters. Requires independent Judgment and knowledge of the department and governmental procedures and functions. Serves as super-time administrator for payroll. Secures appropriate LA Gov HCM training for timekeepers responds to problems/questions that may occur each pay period performs time entry into computer system of prior pay period adjustments for entire agency performs time entry in the event of a timekeepers absence reviews and verifies each time entry audit report submitted by divisions obtains signatures and backup documentation as required maintains all timekeeping files for agency. Runs numerous LA Gov HCM payroll reports in accordance with departmental policy, reviews for errors, and makes necessary corrections. Serves as travel coordinator for the agency. Reviews all travel authorizations and travel expense accounts to ensure compliance with departmental policy and the state travel regulations coordinates any necessary revisions. Secures appropriate signatures and backup documentation. Issues travel reimbursement checks maintains backup documentation. Authorizes payments on departmental purchasing card for employee’s airfare with state travel agency. Maintains and manages Imprest fund checkbook issues checks for travel-related reimbursements and other approved disbursements maintains and monitors checkbook balance ensures necessary backup documentation is provided distributes checks. Assists Human Resources Director with various personnel projects and administrative tasks.
Coordinates portions of safety program such as conducting quarterly safety meetings, securing quarterly office safety inspections from the various divisions, and maintain records.
