The Prince Georges County Government Department of Permitting Inspections Enforcement is seeking qualified applicants to fill an Administrative Aide IV position, grade A19, within its Directors Office Division.
About the Position:
This is a highly responsible senior level administrative/secretarial position in the the Department of Permitting, Inspections and Enforcement (DPIE), Directors Office under the supervision of the the Executive Administrative Aide. The incumbent is responsible for applying a broad knowledge of County Government functions including but, not limited to Permitting, Licensing, Enforcement, Inspections, Site Road Plan Review and Building Plan Review Divisions of the department. This level of work is highly complex and consists of a variety of secretarial, administrative and office management functions. Incumbent is always expected to maintain confidentiality when dealing with correspondence and personnel issues.
Examples of Work
What Youll Do:
- Acts in absence of Executive Administrative Aide.
- Drafts and compose a variety of letters, memoranda, and reports for Deputy Director approval and signature.
- Manages Deputy Director calendar makes and cancel appointments.
- Coordinates a variety of office activities, special projects, and functions.
- Develops and modifies office procedures and forms to ensure efficiency and accuracy.
- Review, proofread and edit all correspondence for Deputy Director signature.
- Advises the Deputy Director and Executive Administrative Aide of matters that should be brought to attention for discussion with other departments, elected officials and agencies.
- Process complaints from County Council ensuring that all requests are disseminated to appropriate, and division and all responses are accurate and handled in a timely manner.
- Prepare travel package, reimbursements, registration forms and other related documents.
- Serves as Department Liaison for contract submissions via an automated system.
- Willingly and cooperatively performs tasks and duties which may not be specifically listed in the class specification or position description, but which are within the general occupational category and responsibility level typically associated with the employees class of work.
Qualifications
What Youll Need:
- Must have experience at the Administrative Aide III level equal to the length of the probationary period.
- Associates degree in Business Administration or Secretarial Science and two (2) years of advanced secretarial/administrative experience which involved working with the public, office management and operational details, and some supervisory responsibilities.
- Applicants must be proficient in typing and shorthand where required.
- An equivalent combination of education, training, and experience will be considered.
- Knowledge of County codes, Ordinances, rules and regulations.
- Ability to professionally and effectively interface with staff, external agencies, government officials, and the general public.

CONDITIONS OF EMPLOYMENT: Upon selection, the candidate must:
- Meet all training and performance standards and demonstrate proficiency as required by the agency.
- Wear and use agency protective apparel and equipment in the performance of their assigned duties.
- Participate as an Essential employee in the departments snow and ice control program and other emergency or special activities as assigned.
- Applicants who meet minimum qualifications must pass an administered Administrative Aide exam. Applicants who have previously taken the exam on or after 2/1/2023, and passed, will not be required to re-test instead, previously test scores will be used to receive the passing disposition.
