About the Role:

The commercial management office (CMO) provides support to mthree clients globally. The CMO are responsible for interacting directly with clients, the Client Services Operations team, as well as multiple finance teams across Wiley. The Analyst role is a key resource to ensuring commercial aspects of client delivery, such as invoicing and reporting, run smoothly and in accordance with client requirements and contractual obligations.

It is the role of the Commercial Management Office to help map the processes relating to timesheet tracking, Purchase Orders, Statement of Works and monthly reconciliations for clients so that the Customer Services Teams can generate client invoices. The team operates on a global basis as many of our clients have operations in multiple regions. As well as facing off to clients, the CMO team works with internal teams across both Wiley and mthree organisations.

Whilst concentrating on data orientated, commercial activities, the position also demands a customer focused mindset. It is responsible for a number of business-critical processes that facilitate contract compliance, customer satisfaction and accurate invoicing. Requires a structured, process driven approach to cyclical tasks to ensure deadlines are achieved and errors are eliminated.

How you will make an impact:

  • Enable timely and compliant invoicing, through;

    • Receiving POs from clients

    • Chasing missing POs from clients

    • Timesheet reconciliation with clients

    • Receiving times exports from clients

    • Reconciling customer data versus internal data

    • Collating overtime approvals

    • Managing expenses queries from employees

    • Managing expenses queries from contractors

  • Document and escalate risks and issues through the correct channels in a timely fashion.

  • Perform tasks in Vendor Management portals such as Beeline, Fieldglass, Ariba, Oracle and many more. To include activities such as Milestone acceptance in the VMS’s and time validation in to client trackers.

  • Contribute to analysis and reporting for clients on an ad-hoc as well as scheduled basis. For example:

    • Actual spend reconciliation for fixed price arrangements

    • Tracking POs for spend analysis

    • PO forecasting

    • Utilisation reporting

  • Responsible for tracking data against contract requirements, such as invoice submission dates and reporting milestones.

  • Support the growth of mthree and the client base, by ensuring new clients are set up with streamlined invoicing processes.

  • Responsible for undertaking tasks in line with corporate policies and coordinating with internal functions to deliver on-time processes.

What we look for:

  • Degree qualified or equivalent commercial experience in a similar role.

  • Experience with either workforce solutions, recruitment solutions or customer commercial management

  • Advanced excel, CRM’s, vendor systems experience. Must be confident with handling data from various sources.

  • Extremely self motivated, highly analytical, process driven, organized, excellent communicator, critical thinking skills and professional manner.
